Connect Your CRM and Control Which Contacts Sync to RealScout

Set up a CRM integration, choose whether all contacts or only tagged contacts sync, backfill existing contacts, and clean up email errors after an import.

Your integration decides which contacts reach RealScout and what happens to them once they arrive. Choose your import mode before you connect, because there is no self-serve way to undo an all-contacts import.

Everything in this article lives under Automations. That section holds three related pages: Integrations to connect an outside system, Auto Nurture to decide what happens to contacts once they land, and Tag Automations to see what RealScout has learned about them.


Find your integrations page

Go to Automations → Integrations. What you see depends on your account type. Some integrations are available to you as an individual agent, and others only appear when a brokerage or enterprise provides them.

Choose your import mode

Import mode is the most consequential setting on the page. It decides which contacts leave your CRM and enter RealScout.

Import only tagged contacts. Only contacts carrying a tag you specify sync to RealScout. This is the safer default and the one to use when your CRM holds anything other than active real estate contacts. Cloze restricts imports this way out of the box, using a default tag of RealScout.

Import all contacts. Every contact in the connected system that has an email address syncs to RealScout, along with everyone you add later.

Caution: There is no self-serve way to undo an all-contacts import. Switching the setting back stops new contacts from syncing, but it does not remove the contacts already brought over. If your CRM is connected to a personal address book or an email account, personal contacts can sync too. Read the on-screen warning before you confirm.

If an all-contacts import was switched on by mistake, email support@realscout.com. Member Support has manual deletion options and can help clean up contacts that should never have been imported. Deleting a contact removes their alerts, history, and messages in RealScout, and that part cannot be recovered. It does not change the contact's stage or record in Follow Up Boss. When you want to keep the record and only stop the emails, archive the contact instead of deleting.

Contacts that already exist in RealScout are not duplicated. The integration matches them and keeps the record in sync.


Backfill contacts already in your CRM

Connecting an integration handles new activity going forward. Backfill handles the contacts already sitting in your CRM.

  1. Go to Automations → Integrations

  2. Open your connected integration

  3. Click Backfill

Backfill checks the connected system for contacts that are not yet in RealScout and brings the matches over, following whichever import mode you set. On MoxiWorks, backfill runs by Group rather than by tag. See MoxiWorks for Individual Agent Accounts.


Know where imported contacts land

Imported contacts arrive on your Contacts page in one of two states.

Awaiting Nurture means the contact is in RealScout but has no alert yet. Use this state when you want to review contacts and set them up deliberately, one segment at a time.

Nurtured means the contact has an active alert. Contacts land here directly when Auto Nurture is enabled for everyone.

To set up a batch yourself, select the contacts, then click More Actions and choose either Auto Nurture or Create Alerts from a Template. To decide which contacts get automated in the first place, see Auto Nurture Settings and How to Configure for Your Account.

Note: Contacts arriving from a one-way drop-in such as Zillow or Realtor.com are only automated if Auto Nurture is turned on for everyone. A tag-based Auto Nurture setup will not catch them, because a drop-in does not carry your CRM tags.


Understand how tags travel between systems

Tags are what make automation possible across two systems, and they move in both directions.

Tags you apply in your CRM arrive in RealScout as external tags. Follow Up Boss tags carry over with their exact spelling. Cloze sends its tags with a leading hashtag, and RealScout normalizes that for you, so you do not need the hashtag on the RealScout side.

Note: Tags do not sync to MoxiWorks. MoxiWorks organizes contacts by Group, so plan to work from RealScout directly if that is your integration.


Clean up email errors after an import

An import is the moment bad email addresses surface. RealScout attempts delivery, then tags what failed. Check within a few days of any backfill.

  1. Go to Automations → Tag Automations

  2. Look for RealScout Email Validation Failed, RealScout Email Spam Reported, and RealScout Email Rejected

  3. Click the three-dot menu beside a tag to filter your Contacts page to only those contacts

  4. Select them, click More Actions, and choose Archive

Archiving turns off a contact's alerts without deleting the profile, moves them to the Archived tab, and frees room in your nurtured count. See Tag Automations: Activity Tags, Action Tags & How to Act on Them for the full tag list, and Email Deliverability for what causes these errors.

Handle a CRM RealScout does not integrate with

You have two paths when your system is not on the integrations page.

Zapier connects RealScout to systems that have their own Zapier support, which covers tools like HubSpot, Monday.com, and Google Forms for open house sign-ins. Check whether your system supports Zapier, then see Using Zapier with RealScout: What Syncs, What Doesn't, and How to Set It Up.

Caution: Zapier cannot send tags to RealScout. Tag-based automation is not available for Zapier-connected systems, so a Template with a tag automation will never fire for those contacts, and a tag-scoped Auto Nurture will not match them either. Set Auto Nurture to apply to all contacts, or apply a Template by hand with More Actions → Create Alerts from a Template. Frequently asked questions

Can I undo importing all contacts?
Not on your own. Switching the setting back to tagged-only stops new contacts from syncing, but contacts already brought over stay in RealScout. If the setting was switched on by mistake, email support@realscout.com. Member Support has manual deletion options for cleaning up contacts that should not have been imported. Deleting removes that contact's alerts, history, and messages in RealScout permanently, and does not change their stage in Follow Up Boss. To keep the record and only stop the emails, archive instead.

What is the difference between archiving and deleting a contact?
Archiving turns off a contact's alerts, moves them to the Archived tab, and frees room in your nurtured count while keeping the profile and its history. Deleting removes the contact along with their alerts, history, and messages, and cannot be undone. Archive is the right choice in almost every cleanup situation. Deleting or archiving on the CRM side does not always propagate back to RealScout. Archiving or deleting a client in BoldTrail does not remove them from RealScout — a documented gap — while deleting a contact in Rechat does permanently delete them in RealScout as well.

How long does a tagged template take to apply after I tag someone?
Up to one hour. RealScout checks for new tags on an hourly cycle, so an alert will not appear the moment you save a tag. A tag applied by a Follow Up Boss automation can take longer, because the tag has to reach RealScout before the hourly check picks it up.
