If you're moving to RealScout from another platform, you probably have clients who already have saved listing alerts (searches) set up, meaning they get automatically notified when a new listing matches what they're looking for. Instead of you re-entering all of that by hand for every client, our Member Support team can transfer it over for you. That's what the Alert Migration Service does.
This guide walks you through exactly what to do, in order, so nothing gets missed.
One important thing first: Before you begin, check with your MLS or broker for any guidelines that may apply to this migration. Processing times vary, and once you submit, we'll review your request and follow up with the next steps.

Think of this as your "make sure everything's ready" list. Our team can't start working on your request until every item here is done, so it's worth going through it slowly rather than rushing.
Everyone involved has logged into RealScout at least once and finished setting up their account. If you're not sure what "finished setting up" means, it just means you've been through the initial account setup, not just created a login.
Every agent has a profile photo uploaded. You can add yours by going to Account -> Profile inside RealScout.
Every agent's real estate license number is showing on their RealScout profile. This also lives in your profile settings.
Auto Nurture is turned OFF and needs to stay off for the whole migration. Auto Nurture is a RealScout feature that automatically sends emails to your contacts. If it's left on during the migration, it can accidentally email your clients before their alerts are even fully set up, which looks unprofessional and can confuse them. Go to your Auto Nurture settings to double-check it's switched off.
If you already use another tool that connects to RealScout (an "integration"), mention this on the form. Depending on the tool, we might be able to pull your contacts in automatically instead of you having to prepare a file — which saves you a step.
Tier Your Contacts. Every contact gets tagged import first, import second, or import third before we migrate anything. Tagging in the right order protects your sender reputation and prevents your whole database from getting throttled by spam filters.

How to Submit an Alert Migration Request (Step-by-Step Guide)
Step 1: Get your contact and alert files ready
You'll need two files from your current platform, and both need to be saved as .CSV files (a simple spreadsheet format most platforms let you export directly to CSV, sometimes under an "export" or "download" button).
Export a contact and alert file from your current platform (this is the list of your clients' names, email addresses (required), and saved search criteria/peramiters).
Download the "Alert Import Template"; it's also on the migration form itself. Open it and use it as your guide: your alert data needs to match the columns/fields it shows you. Tip: We can help reorganize your .CSV file, but it's helpful if you use this to submit your request.
Label each contact with a priority tier: import first, import second, or import third. This just tells our team which contacts to move over first. There's a two-week gap between tiers to review results before the next batch starts. Turnaround begins once your CSV is submitted correctly.
Step 2: Double-check your RealScout account(s) are ready
Go back through the checklist above one more time. When you fill out the migration form, you'll be asked to confirm each item with a checkmark, so it's worth having them all sorted before you start the form. You'll also be asked to confirm that once your searches are transferred, you want them activated (turned on) right away, so make sure that's what you want before you check that box.
Step 3: Fill out and submit the form
Here's what the form will ask you for. Having this information ready before you start will make it go faster.

A few questions about your migration:
Who is this migration for? — You'll pick whether you're submitting this for yourself, for a whole team, or for agents you manage.
What platform are you migrating from? — Pick it from the dropdown. Our process for helping you migrate depends on which platform you're coming from, so take a moment to pick the right one. Not sure, or have a question before you submit? Email us first at alertmigrations@realscout.com — it's much easier to ask beforehand than to fix it after submitting.
Upload your CSV alert file — this is the file you formatted in Step 1. Use this template if needed: Alert Import Template.
Step 4: Click Submit
That's it! Once everything above is filled in, click Submit.
What happens next: our team will review what you sent and reach out with next steps. How long this takes depends on how many contacts and alerts you're migrating and how complex your setup is — so don't worry if it's not instant.

How to Tag Your Contacts by Tier
Before you send us your file, every contact needs one tag: import first, import second, or import third. Tagging tells our team which contacts to prioritize, and it protects your sending reputation once your alerts go live — cold contacts imported too early can get flagged as spam, which restricts sending for your entire database, not just theirs.
Tier 1 — Import first: your most important contacts. Contacts with active alerts within the past 12 months — people who know your name from recent email opens, showing requests, or listing clicks. We migrate their alerts as-is, and they're imported first. This tier is capped at 500 contacts and alerts per agent requesting the migration, no matter your team size — tag your best 500 here.
Tier 2 — Import second: quiet, but still in the market. Contacts active 12–24 months ago. They've gone quiet but haven't left the market. If you include search criteria for them on your sheet, we'll import their alerts; if not, they're placed on Auto Nurture, which re-engages them for you automatically.
Tier 3 — Import third: cold, but worth keeping. Everyone else — cold leads, purchased lists, and contacts who've never engaged. They're imported last, using broad Listing Alert Templates and Market Activity Alert Templates assigned by tag, rather than individual alerts.
Before you submit your sheet, double-check:
Every contact carries one tag — import first, import second, or import third.
Tier 1 is capped at your 500 most-engaged contacts.
Any Tier 2 contact whose alerts you want migrated has search criteria included.
Auto Nurture stays off until your migration is complete.

The "Not Supported" column contains advanced search parameters we cannot import. You could add those manually to the contact alerts after migration if you choose to.

Step 1: Prepare your files
Export a contact file and an alert file from your current platform, both in .CSV format.
Download the Alert Import Template from inside the migration form, and format your alert data to match the supported fields above.
Tag every contact with their tier: import first, import second, or import third (see Tag Your Contacts by Tier below). Our team processes contacts in tier order.
Migrating from Ylopo? Contact Ylopo support to request your Leads List, and make sure it includes all required fields — includingFULL_PARAMS, which we need to complete the migration.
Step 2: Prepare your RealScout account(s)
This will be on the form for you to checkmark. Please ensure all are met before submitting the request:
Confirm that Auto Nurture is disabled.
Let us know if you have an active integration connected to RealScout.
If so, we may be able to sync your contacts through that integration instead of a file import.Confirm that all accounts involved in the alert migration request have the following:
- team members have logged into RealScout
- team members have a profile photo
- team members have a valid license number displayed
- and you confirm searches will be activated once transferred
Step 3: Complete and submit the form

If you will be our point of contact, please be ready to enter your full name, preferred email address, and preferred phone number.

Select your current platform from the platform dropdown.

If you're migrating from Ylopo or FUB, note this on the form and include any additional details the Member Support team requests.

I submitted the form but haven't heard back. What should I do?
If a few business days have passed with no response, contact Member Support through the Help button in your RealScout account, or email alertmigrations@realscout.com. Migration requests are handled in the order they're received.
What happens if my .CSV file has missing fields?
Include what you have, and we'll connect with you before processing begins to collect default values for any required fields that are missing.
Can I include contacts without an email address?
No. An email is required for import. If needed, remove those with missing emails from your file before submitting, as it could delay your project, or add an email address if you have one.
My platform uses polygon-based or hand-drawn maps. What do I do?
Polygon shapes can't be imported. We advise you to manually create alerts using cities, zip codes, or neighborhoods. Use Templates for similar map areas. Recreate searches manually in RealScout.
I have an active CRM integration. Does that change anything?
Yes. If you have an active integration with Follow Up Boss, Cloze, MoxiWorks, BoldTrail, or Rechat, we may be able to sync your contacts directly through that integration rather than importing a CSV.
I use Ylopo. Can I submit a request to migrate alerts into RealScout?
Yes. If you use Ylopo, select it from the Systems You Use drop-down and follow the prompts.
Make sure your Leads List is formatted correctly with all necessary fields. And if your leads have activity history in another CRM, Auto Nurture's welcome campaign may be a simpler alternative to a full migration. Note your situation on the form or let our team know, and we'll advise on the best path.
When do transferred searches go live?
Searches are activated at the time of migration; you confirm this on the form.
This is a collaborative project, and we will be in contact with you once we are working on your request. If you have specific questions, please ask our team.
Tip: If you are not sure when you should have us turn on your alerts, please let us know. We suggest considering beginning or mid-week. However, if you decide to allow us to import alerts on a Friday, please note you or your agents may start getting activity from contacts, and it may be missed if you or your team are away on weekends. So a weekday beginning or midweek is suggested, but totally up to you.
When can I turn Auto Nurture back on?
Not until the Member Support team confirms your migration is complete.
Turning it on early can trigger automated emails to contacts whose alerts aren't fully configured yet. Once cleared, you can turn Auto Nurture on for a contact from their profile, or from the Awaiting Nurture tab.
