Sierra Interactive and RealScout run as separate systems. Zapier moves new Sierra contacts into RealScout and can route RealScout property activity back into Sierra as notes or tasks.
Before you build: what Zapier does and does not do
What works through Zapier | What does NOT work through Zapier |
New Sierra contacts → RealScout Contacts | Tags from Sierra do not flow to RealScout |
Lead Source values preserved from Sierra | Saved searches do not migrate |
RealScout property activity → Sierra notes or tasks | Sierra and RealScout Listing Alerts do not sync |
Email, name, phone, and a few optional fields | No single sign-on between Sierra and RealScout |
Sierra's "Create e-alert" buttons launch Sierra's own MLS-based alerts. These are separate from RealScout Listing Alerts, which are configured inside RealScout through Templates. The two systems do not share alert data.
Step 1: Connect Sierra Interactive and RealScout in Zapier
Log in to Zapier and click + Create Zap.
In the Trigger step, search for Sierra Interactive and select it.
Authorize Sierra using your Sierra credentials when prompted.
In the Action step, search for RealScout and select it.
Authorize RealScout using your RealScout credentials when prompted.
Confirm both apps show as Connected in your Zapier account.
Step 2: Choose your Sierra trigger
Trigger | When to use it |
Tag Added to Lead | Recommended. Only Sierra contacts you tag flow to RealScout. You control enrollment. |
New Lead | Fires for every new Sierra contact regardless of source. Use only if you want all new leads to sync. |
Lead Status Changed | Use when you want to enroll contacts only after they reach a specific qualification status in Sierra. |
Tag-gated enrollment is the default recommendation. Sierra databases often contain thousands of contacts from multiple sources. Syncing without filtering creates email deliverability risk in your first 14 days on RealScout. Tag-gated enrollment lets you add contacts in controlled batches.
To set up tag-gated enrollment:
Create a dedicated tag in Sierra such as "RealScout-Enrolled" or "RS."
Set the Zapier trigger to Tag Added to Lead and specify that tag.
When you want a Sierra contact to flow to RealScout, apply the tag in Sierra. The Zap fires automatically.
Step 3: Map fields from Sierra to RealScout
Set the Action to RealScout → Create Client and map fields:
RealScout Field | Map From Sierra | Required? |
Sierra email field | Yes | |
First Name | Sierra first name field | Yes |
Last Name | Sierra last name field | Recommended |
Primary Mobile Phone | Sierra phone field | Optional |
Lead Source | Sierra lead source field | Strongly recommended |
Financial State | Sierra buyer qualification field if available | Optional |
Lead Source mapping is the high-leverage step for Sierra. Sierra aggregates leads from multiple sources — Zillow Connect, Realtor.com, your IDX site, Facebook lead ads, open house forms — and preserves the original source on each contact. Map RealScout's Lead Source field from Sierra's lead source field (not a static value). This keeps source granularity intact in RealScout. You can then build Templates keyed to each Lead Source value. If Sierra's source field is sometimes empty, set a fallback static value such as "Sierra" so every RealScout contact has a Lead Source.
Step 4: Test and publish
In Sierra, apply your enrollment tag to a test contact.
In Zapier, click Test trigger and confirm the Sierra contact data appears.
Click Test action and confirm the contact is created in RealScout.
Open Contacts in RealScout and verify the test contact appears with the correct Lead Source.
Click Publish Zap.
Step 5: Set up Auto Nurture in RealScout
Because tags do not flow through Zapier, Auto Nurture is your primary coverage mechanism for Zapier-enrolled contacts.
Open Auto Nurture and click Update Settings.
Set Default Map Location to your primary market.
Set automation mode to All new contacts. Every contact arriving via the Zap is enrolled without requiring a tag match.
Under Fallback Templates, select a Listing Alert Template and a Market Activity Alert Template.
Build Templates keyed to specific Lead Source values from Sierra for granular segmentation.
Step 6 (Optional): Route RealScout activity back to Sierra
Sierra's Zapier app supports "Add Note" and "Add Task" actions. Build a second Zap to log RealScout property activity in Sierra:
Create a new Zap with trigger RealScout → Property Saved (Interested).
Set the action to Sierra Interactive → Add Note. Map the note text to include the property address and a link.
Optionally, for high-intent signals, set the action to Sierra Interactive → Add Task with a follow-up date instead.
Repeat for RealScout → Property Viewed to capture research activity.
Publish the second Zap.
When a contact views or saves a property in RealScout, Sierra automatically shows that activity as a note on the contact's record without you needing to check two systems.
