Contact Overview

A Contact record in RealScout shows Scout Score, active alerts, email and site activity, and contact details in one place. This article explains each section of the Contact record and the actions available from it.

A Contact record in RealScout centralizes everything you need to assess buyer or seller intent: Scout Score, active alerts, email and site activity, and the ability to take action from one screen.

Open a Contact record

Click any Contact's name from your Contacts list or your Dashboard feed. The record shows complete activity history, active alerts, and profile details in one place.

Read the Scout Score

The Scout Score measures buyer or seller intent based on the Contact's recent engagement. A rising score signals active research and is a prompt to follow up. A low or stagnant score usually means the search criteria or alert frequency needs adjustment.

What drives the Scout Score: email activity (opens and clicks on alerts and other emails) and site or app activity (browsing listings, viewing search results). RealScout recalculates the score nightly. For how to sort by Scout Score and act on each engagement pattern, see Scout Score, Contacts, and RealScout Enrichment.

Use the Actions menu (three dots)

The three-dot menu at the top of the Contact record provides quick access to:

  • Transfer — reassign the Contact to another team member

  • Send Welcome Email — send a custom welcome message from this record. Choose it, review the message text, then send.

  • Reset Password — send a password reset to the Contact in one click from the same menu.

  • Enrich Contact — add profile information via Contact Enrichment. This is also available as a button next to Edit in the contact details section.

  • Archive — remove the Contact from active nurture while preserving their history

  • Delete — permanently remove the Contact record

Use Archive to pause outreach without losing data. Use Delete only if you are certain the record is no longer needed. See How to Archive Contacts for the full Archive, Unarchive, and Delete workflow.

Contact type: the Contact record includes a Contact type selector with four options: Buyer, Seller, Buyer & Seller, and Other. After setting a type, you can toggle whether the Contact has signed a Buyer Agreement or a Listing Agreement, and the available toggle depends on which type you selected. Contact type is a record-keeping field and appears in the Type column on your Contacts page. See Logging Contact Type & Agreement Status for the full walkthrough.

Follow Up Boss link: for FUB-connected accounts, a Follow Up Boss Contact Link button appears at the top of the Contact record and opens the matching FUB contact in a new tab. See Scout Score, Contacts, and RealScout Enrichment for what to update on the FUB side after using Contact Enrichment.

Review active alerts

The alerts section shows every active Listing Alert, Home Value Alert, and Market Activity Alert assigned to this Contact. From here you can review what is going out, adjust search criteria if the Contact's needs have changed, pause or deactivate alerts, and add a new alert if a tighter or different search is needed.

Review Email Activity and Site Activity in Detail

Two tabs on the Contact record break email and site activity down further than the alerts summary:

  • Email Activity tab: a table of every email sent to this Contact, with delivery and open status. Sort it by Delivery Date to see the most recent sends first, and use the pagination control to move through the full history.

  • Site Activity tab: five sub-views of the Contact's browsing behavior — Viewed homes, Interested homes, Not-interested homes, Feedback activity, and Rated homes.

Use the export menu on the Site Activity tab and choose Download as CSV to take a Contact's browsing history outside RealScout.

Note: hand-picked listings you send with a personalized message are logged only in the Email Activity tab. Messages sent through the RealScout messenger do not appear there.

Get an email when this Contact marks a listing Interested

RealScout labels the listings a Contact saves or favorites Interested. There is no "liked" or "favorites" label anywhere in the product, so search for Interested when you are looking for them. The running count also appears in the Homes Interested column on your Contacts page.

Two settings work together to send you an email, and it will not send unless both are in place:

  1. Star the Contact. On your Contacts page, find the Contact's row, scroll right, and select the star icon. This is set per Contact, so a newly added Contact is never starred automatically.

  2. Confirm the account toggle. Go to Account SettingsNotification Settings and check that Email me when a starred client is interested in a listing is on.

The toggle on its own does nothing. If the account setting is on but the Contact is not starred, no email is sent. Starring the Contact is what triggers it. This is the most common reason an agent expects these emails and does not receive them.

There is no per-view email. Browsing activity is covered by the Email me a daily active client report and Email me a weekly summary about my clients options in Notification Settings, and in real time by the Live Feed on your Dashboard. For what the Contact sees on their side when they mark a listing, see Interested Vs Uninterested Properties.

Edit Contact details

Click the pencil icon to edit the Contact's name, email address, phone number, or secondary contact information.

Keep the email address current. It is the single most important detail to maintain. An invalid email stops all alert delivery and breaks Auto Nurture enrollment.

Add Commute Information

Add a commute destination to give the Contact drive-time context while they browse listings. This field does not create a search or filter results; it displays estimated commute times on property cards for the Contact's reference. It is most useful for buyers weighing multiple areas or neighborhoods.

Run Contact Enrichment

Contact Enrichment supplements the Contact's profile with additional information sourced through RealScout. To run it, open the three-dot menu and click Enrich Contact. Each Contact can be enriched twice total, and your account can run up to 100 enrichments per day. See Using Contact Enrichment in RealScout for a full walkthrough.

Message a Contact Directly

Open the Contact's messaging screen from their record to send a direct message. You can search for and attach a specific listing to the message before sending, which is useful when you want to call out one property rather than sending a full alert.

To read replies, click the message icon in the top right of your account, which opens your full message inbox across every Contact. Any listing attached to a message appears as a card inside the message itself. See Guided Tutorial to Using RealScout Messages.
