Using Zapier with RealScout: What Syncs, What Doesn't, and How to Set It Up

Connect RealScout to Sierra Interactive, Wise Agent, HubSpot, GoHighLevel, and other CRMs with Zapier, and see exactly what data transfers and what doesn't.

Use Zapier to connect RealScout with CRMs and tools RealScout doesn't natively integrate with, like Sierra Interactive, Wise Agent, HubSpot, and GoHighLevel.

RealScout does not offer a public API for general developer access, so Zapier is the way to bridge RealScout with any CRM or platform outside its native integrations (Follow Up Boss for team owners, Cloze, MoxiWorks, BoldTrail, and Rechat). Some pre-built Zapier integrations already exist for LionDesk, Boomtown, and Lofty, formerly Chime. Sierra Interactive, Wise Agent, Real Geeks, HubSpot, and GoHighLevel (listed on Zapier as LeadConnector) connect the same way, through a general RealScout Zap rather than a named pre-built integration. Zapier does not sync saved search criteria, alert preferences, property addresses, or notes in either direction. Plan around basic contact fields only.


Connect RealScout to Zapier

  1. Open your RealScout Integrations page and copy your Zapier API key.

  2. Go to zapier.com and log in to your Zapier account.

  3. When prompted to connect RealScout, paste in your API key.

This is the same key every Zap you build will use to connect to your RealScout account.

If you're on a team, a Zap only syncs leads for the agent whose account it's connected to. Configure the Zap to include all agents, or build a separate Zap per agent, or new agents' leads won't sync.


Send a lead into RealScout

Use this when leads arrive somewhere else first — a lead form, a spreadsheet, or a CRM like Sierra Interactive or HubSpot — and you want them to land in RealScout automatically.

  1. In Zapier, click Create Zap.

  2. Set your Trigger app to wherever the lead originates (for example, HubSpot, Sierra Interactive, or a Google Sheet).

  3. Set your Action app to RealScout.

  4. Choose the action Create Contact (or the closest equivalent your Zapier account shows — some accounts label this step differently).

  5. Map the available fields to RealScout's supported fields: Email, First Name, Last Name, Mobile Phone, Lead Source, Additional Email, Financial State, Cash/Pre-Approval Amount. For example, a new HubSpot contact's email, name, and phone map directly to these same fields.

  6. Click Test step to confirm a contact appears in RealScout, then Publish the Zap.

Only Email is required. Property addresses, notes, saved search criteria, lead type (buyer vs. seller), tags, and timestamps don't transfer through Zapier — add those manually inside RealScout after the contact syncs.

Tip: If you'd rather not build the Zap step by step, Zapier's Copilot can do it for you. From your Zapier dashboard, use the "describe what you want to automate" field and tell it what you're connecting — for example, "create a RealScout contact when I get a new HubSpot contact." Copilot drafts the trigger, action, and field mapping for you to review, adjust, and test before turning it on.


Send RealScout activity to your CRM

Use this when you want your CRM, or another tool, to hear about it when a RealScout contact views a listing, saves a property, or opens an email.

  1. In Zapier, click Create Zap.

  2. Set your Trigger app to RealScout.

  3. Select one trigger event. RealScout sends these individually:

    • Property Viewed

    • Property Saved (Interested)

    • Property Hidden (Disliked)

    • Email Opened

    • Email Delivered

    • New Contact Created (agent-created or self-signup)

  4. Connect your RealScout account if you haven't already.

  5. Set your Action app to your CRM (for example, HubSpot, Sierra Interactive, or LionDesk).

  6. Configure the action — a note, task, activity, or contact update, however your CRM supports it.

  7. Click Test step, then Publish the Zap.

Each event type needs its own Zap. A Zap built on Property Viewed will not also fire for Property Saved. If you're watching for high email volume, avoid building a Zap on Email Opened — it fires often enough to exhaust monthly Zapier task limits fast. Add a Zapier Filter step after the trigger if you need to narrow it further.

Copy your contact's RealScout URL by hand (right-click, or long-press on mobile) and paste it into your CRM's notes field if it has one.

On Zapier's free plan, triggers poll for new events roughly every 15 minutes, so a synced lead can take that long to appear. Paid Zapier plans poll more often.


Why tagged automations skip Zapier contacts

Zapier can't send tags to RealScout, so any automation that depends on a tag won't fire for a contact who arrived through a Zap:

  • A Template set up under Email Alerts → Templates → Setup Tag Automation only fires for contacts carrying a tag RealScout can see — contacts from a direct integration like Follow Up Boss, Cloze, or BoldTrail, or contacts you tag inside RealScout yourself.

  • If Automations → Auto Nurture is scoped to tagged contacts only, Zapier contacts won't match and will sit in Awaiting Nurture with no alert.

You have two ways around this:

  1. Set Auto Nurture to apply to all contacts, so anything that syncs in gets a general alert automatically.

  2. Leave Auto Nurture off or scoped, then apply a Template by hand: go to Contacts, select the contacts, click More Actions, and choose Create Alerts from a Template.

This limitation only runs one way. RealScout still applies its own activity tags to Zapier-sourced contacts, so tags like Property Viewed and the email-error tags work normally, and those can trigger a Zap going back out to your CRM.


Troubleshooting

The Zap ran but the contact didn't appear in RealScout.
Confirm the email field is mapped and contains a valid address — email is required to create a RealScout contact. Then check Zap History in your Zapier dashboard for the failed run.

The contact synced but never got an alert.
Check Automations → Auto Nurture. If it's scoped to tagged contacts only, the Zapier contact won't match, since Zapier can't send tags. Look for the contact under Awaiting Nurture, then apply an alert with More Actions → Create Alerts from a Template.

The Zap is running, but I'm not seeing property activity in my CRM.
Confirm you selected the trigger you meant — Property Viewed and Property Saved are separate triggers, and a Zap built on one won't also catch the other.

Leads aren't syncing for new agents on my team.
Configure the Zap to include all agents, or build a separate Zap per agent. A Zap connected to one agent's account only syncs that agent's leads.

A contact came in through Zapier, but their lead type or property address is missing.
Zapier doesn't support lead type categorization or address fields. Update those manually inside RealScout after the contact syncs.


FAQ

Can I launch RealScout directly from my Zapier-connected CRM?
No. There's no direct login or launch integration through Zapier. Log in to RealScout through the mobile app or directly at app.realscout.com.

Can Zapier create RealScout listing alerts for a new lead?
Not directly. If Auto Nurture is enabled for incoming leads, or the contact matches a tag Auto Nurture is scoped to, a new contact synced through Zapier gets enrolled automatically.

Why don't my RealScout search links show up in my CRM after a Zap runs?
Zapier doesn't sync search alert URLs or saved criteria — only the contact record and the supported fields transfer.

Does RealScout have a direct integration I should use instead of Zapier?
If you or your team owner use Follow Up Boss, Cloze, MoxiWorks, BoldTrail, or Rechat, a native integration may already cover you. Native integrations support more fields and don't require a separate Zap per event type.

Will a new agent's leads automatically sync to my CRM through my existing Zap?
No. A Zap only syncs leads for the agent whose account it's connected to. Configure the Zap to include all agents, or build one per agent.

Can RealScout set up Zapier for me?
No. RealScout doesn't manage Zapier workflows. Configure the integration yourself, use Zapier's Copilot to draft it, or check whether your CRM provider offers setup help.
