Step 1 - Account Owners: Setting up the integration

Connect Follow Up Boss to RealScout as an account owner. Generate API key, configure sync settings, import contacts, and set up team integration if you have a RealScout Team account.

In this video, we show you how to connect your Follow Up Boss (FUB) account to your RealScout account. This integration is specifically for account owners, who will be responsible for connecting RealScout for their entire team. Don't worry, your team members won't need to connect their FUB accounts individually. I'll guide you through the process step by step, so let's get started.

Before You Start

Confirm the following:

  • You are the Follow Up Boss account owner

  • The email address in Follow Up Boss matches your RealScout email

  • You are logged into your RealScout account as the account owner

Important: If you are not the FUB account owner, you will see an error when attempting to connect the integration. RealScout matches users via email, so if emails do not match exactly between systems, agents will not connect correctly.


Step-by-Step Guide

Step 1: Confirm You Are the FUB Account Owner

  1. Log into Follow Up Boss

  2. Click the Teams tab

  3. Confirm you are listed as the Account Owner and your email matches your RealScout login email

If the emails do not match, update them before continuing.


Step 2: Generate Your FUB API Key

  1. In Follow Up Boss, click More

  2. Scroll down and select API

  3. Click Create API Key

  4. Name it something clear, such as RealScout – Do Not Delete

  5. Copy the generated API key and save it securely in a password manager

Important: Never send API keys over email or Slack. Treat them like passwords.


Step 3: Connect the Integration in RealScout

  1. Log into RealScout

  2. Go to Integrations

  3. Locate the Follow Up Boss integration

  4. Paste your API key

  5. Click Connect

  6. Review the confirmation pop-up and click Confirm to finalize

Once connected, you will see confirmation that you are connected as the account owner and the integration is active.


Step 4: Configure Integration Settings

After connecting, choose your team-wide configuration settings:

1. Contact Sync
Turn on contact syncing to power the integration and allow contacts to move from FUB to RealScout.

2. Deletion Sync
Choose whether contacts deleted in FUB should also be deleted in RealScout. Recommended: Turn this on for clean database management.

3. Auto-Connect Team Members
If you are a team lead, enable automatic connection for team members. As long as their FUB and RealScout emails match, they will connect automatically.

4. Lead Reassignment Sync
Choose whether lead reassignments in FUB should also occur in RealScout. Recommended: Turn this on so ownership stays aligned across systems.


Step 5: Choose Your Import Strategy

You have two options:

Option A: Import All Contacts
This pushes your entire FUB database into RealScout.

Warning: This can trigger large-scale alert creation if your templates are not structured carefully.

Option B: Import Tagged Contacts Only
This imports only contacts with a specific tag in FUB.

Tip: Most teams choose this option for better control. Everyone on your team must use the same tag to push contacts into RealScout.

Step 6: Review Team Sync Status

After connecting, scroll to the team status section to see agent names, email addresses, roles, connection status, and contact sync counts. As the account owner, you can see the total team connected contacts and breakdown by agent.


Step 7: Perform a Backfill (Optional)

At the bottom of the integration panel, you will see a Backfill option that allows you to push existing FUB contacts into RealScout immediately.

Important: Backfilling is permanent and can trigger alerts. Make sure your tagging strategy is clean before proceeding. Step 2 covers how to backfill safely.

Why am I seeing an error when trying to connect?
You are likely not the Follow Up Boss account owner, or your email does not match between systems.

Do individual agents need to connect separately?
No. Once the account owner connects and enables auto-connect, agents are matched by email automatically.

What happens if emails do not match?
The agent will not connect. They must update one system so both emails match exactly.

Can I change import settings later?
Yes, but changing from "Tagged Only" to "Import All" can dramatically increase contact volume. Adjust carefully.

Should I backfill immediately?
Not unless your database is clean and your tag strategy is intentional. Review Step 2 before backfilling.
