Activity tags

RealScout applies these tags automatically when your contacts engage with their search, alerts, or emails.

Applied when RealScout's email delivery system reports a hard bounce or block on a contact's email.

Activity tags apply to your RealScout contacts whether or not a CRM is connected. If you use a tag-syncing CRM (Follow Up Boss, Cloze, or BoldTrail), these tags also sync to the matching contact there, so you can build Smart Lists and automations on them.

How long tags stick around

Most Activity tags are rolling engagement signals. RealScout re-applies them as your contacts keep engaging, so they reflect recent behavior rather than a one-time event.

Three tags carry a Permanent badge because they flag an email delivery problem that stays in place until it is resolved:

RealScout Email Validation Failed

The contact's email address is malformed or unverifiable.

Correct the email address on the contact profile.

RealScout Email Rejected

RealScout's email delivery system reported a hard bounce or block on the address.

Verify the address is correct, then contact support@realscout.com to review the block.

RealScout Email Spam Reported

The contact clicked Report Spam on a RealScout email, which blocks further delivery.

Only the contact can restore delivery, by emailing support@realscout.com directly.

Note: For a spam-reported contact, correcting the email address does not restore delivery. Reinstatement has to be requested by the contact through support@realscout.com, and you cannot override it on their behalf.

Action tags

Apply one of these tags to a contact and RealScout will perform the matching action on your behalf. Add them to a contact's profile in RealScout or through your connected CRM.

Tags are spelling-sensitive but not case-sensitive. RealScout Archive Contact and realscout archive contact are treated the same. Realscout Archiv Contact is a different tag and will not trigger any action.

Key rules for action tags

  • Actions trigger after the tag is applied, not retroactively.

  • Removing the tag does not undo the action.

  • Manual actions (archiving via checkbox) do not automatically apply the tag.

  • With a CRM integration, the tag syncs from your CRM to RealScout and triggers the action on the RealScout side.

Every tag row on the Tag Automations page lets you open the full list of contacts carrying that tag and act on them.

  1. Click the three-dot menu on any tag row.

  2. Click View tagged contacts.

  3. Select contacts, then use More Actions (for example, Archive).

Archiving turns off a contact's alerts without deleting them, and you can unarchive contacts from the Archived tab at any time.

Custom tags: segment contacts and auto-assign Templates

Beyond Activity and Action tags, you can create any tag you want on a contact's profile. Custom tags are most useful when paired with Templates.

When a contact and a Template share a matching tag, RealScout automatically creates a Listing Alert for that contact using the Template. RealScout scans for matching tags once per hour.

How it works:

  1. Create a Template in Email Alerts > Templates.

  2. Add a tag to the Template (for example: buyer-scottsdale).

  3. Apply the same tag to any contact who should receive that Template's alert.

  4. RealScout automatically creates the alert for that contact within the hour.

This applies to existing contacts, newly added contacts, and contacts synced from a CRM. Any contact with the matching tag will receive the alert.

Custom tag naming guidance:

  • Use descriptive names that reflect the audience the Template is built for: buyer-eastside, seller-sphere, investor-multifamily.

  • Avoid generic tags like lead or active on Templates. If every contact gets that tag, every contact gets that alert.

  • Use unique tags per Template to control exactly which contacts get which alert.

To prevent a Template from automatically applying to contacts, use a unique tag that is not applied to any existing contacts.
