How to Import Contacts into RealScout from Supported CRMs

Learn how RealScout's 2-way CRM integrations sync contacts. This Applies to some users of BoldTrail, Cloze, Follow Up Boss, MoxiWorks, and Rechat CRMs, contact backfilling, and what to expect after contacts sync.

RealScout connects to several CRMs so contacts flow into your account through controlled actions.

Each integration has its own connection process, import options, and data limitations.

This article covers which integration applies to you, how contact import works, and where to go for your CRM-specific setup guide.

How Contact Import Works

Import All vs. Tagged Import

Most native integrations offer two import modes:

Import All Contacts syncs every contact from your CRM into RealScout.

  • This is the simplest option but carries risk: if your CRM database includes stale, unsubscribed, or irrelevant contacts, those contacts may receive automated emails once Auto Nurture or Templates are enabled.

  • Importing invalid/previously-unsubscribed contacts can trigger spam complaints and harm your email sender reputation.

Tagged Import (or Group-based import for MoxiWorks) syncs only contacts that have a specific tag or group in your CRM.

  • This gives you precise control over who enters RealScout.

  • For most users, this is the recommended approach, especially when importing an existing database for the first time.

Your first recommended tag, when using tags for syncing with Cloze, BoldTrail, Follow Up Boss, or Rechat is:

Note: Contacts must have a valid email address to sync. Contacts with only a phone number will not import.

→ You can send those contacts one of your Search Links so they register directly.

Backfilling Existing Contacts

When you first connect a CRM integration, your existing CRM contacts do not import automatically in all cases. Backfilling is the process of syncing contacts that were already in your CRM before the integration was established.

  1. Locate your connected CRM and review your import/sync settings.

  2. Click Back Fill.

  3. If you are using tagged import, only contacts with the matching tag or group will import during the backfill.

Backfilling may take a few minutes to several hours depending on database size.

After it completes, check your Contacts page and confirm the count under the Awaiting Nurture tab and/or Nurtured tab.

  • Scheduled alerts for leads in the Nurtured tab will deliver based on the "first delivery schedule," usually same/next day depending on the alert type.

Note: Before backfilling a large database, confirm your Auto Nurture settings.

  • If Auto Nurture is enabled, imported contacts can be enrolled in automated email sequences immediately.

Follow Up Boss

One of the most comprehensive integrations RealScout offers. Supports bidirectional tag sync, five auto-populated custom fields in FUB, RealScout Alerts links on each FUB contact, and tag-based Template automation. Requires a Team Owner or Individual Owner account with a Build or Enterprise plan for the native Auto Connect integration. If your plan does not qualify, use the Zapier path instead.

Cloze

Agent-level, self-service integration. Supports bidirectional contact sync and tag-based import. No broker or team owner setup required. The default "RealScout" tag is the sync trigger.

BoldTrail (fka kvCORE)

Enterprise-level integration enabled by your brokerage admin. Uses the "RealScout" tag in BoldTrail as the import trigger. Activity data (views, saves, messages) flows back into BoldTrail contact timelines. If BoldTrail is not visible on your Integrations page, your brokerage has not enabled the connection: contact your brokerage leadership.

MoxiWorks (MoxiEngage)

Uses Groups instead of tags to control which contacts sync. Backfill supports filtering by group name (spelling-sensitive, not case-sensitive). Contacts created in RealScout push back to MoxiEngage, but changes to existing contacts do not sync bidirectionally. Broker-level integration, if MoxiWorks is not visible on your Integrations page, your brokerage has not enabled it.

Rechat

Agent-level, self-service integration common among eXp Realty agents. Connect directly from your Integrations page. Contact data (email, phone, address, lead source) transfers between systems. Activity data (views, saves) does not push back to Rechat: check your RealScout dashboard or mobile app for engagement signals.

Zapier (Non-Native CRMs)

For CRMs without a direct RealScout integration, including Sierra Interactive, LionDesk, and others. Zapier handles new contact creation from a CRM trigger but does not support bidirectional sync, tag sync, or address transfer. Existing contacts must be imported separately via CSV. Zapier cannot add tags to RealScout contacts, so tag-based Template automation is unavailable on this path.


What Happens After Contacts Import

Once contacts are in your account, the next step is the same regardless of CRM:

  1. Review your Contacts page. Go to Contacts and check the Awaiting Nurture tab. Every imported contact starts here unless they already have an active alert.

  2. Enable Auto Nurture. Go to Auto Nurture and confirm it is active with a fallback Template set. Auto Nurture enrolls contacts with no active alerts into a drip sequence automatically.

  3. Set up tag-based automation (if your integration supports tags). Create Templates at Templates with a matching tag. When a contact with that tag imports or gets tagged, the Template's alert assigns within one hour.

  4. Add addresses for seller contacts. Home Value Alerts require a property address. If your CRM did not transfer addresses (Zapier and some integrations do not), add them manually on each contact's profile or use the Home Value Alert Bulk Import.


Frequently Asked Questions

My CRM is connected, but contacts are not appearing in RealScout. What should I check?

Confirm these things:

  • The integration status shows as connected on your Integrations page

  • If you are using tagged/grouped backfill, the contacts in your CRM actually carry the matching tag or are in the matching group.

  • Contacts without an email address will not sync regardless of tags.


Can I switch from "Import All" to "Tagged Import" after I have already connected?

Yes.

Open your integration settings on the Integrations page and change the import mode. Going forward, only tagged contacts will sync. Contacts already imported will remain in RealScout. Switching the other direction, from Tagged to Import All, will allow all new leads to sync to RealScout.


Do all integrations support tag-based Template automation?

No.

Tag-based Template automation requires an integration that syncs tags into RealScout. Follow Up Boss, Cloze, and BoldTrail support this.

MoxiWorks uses Groups (not tags), and Zapier cannot add tags to RealScout contacts.

For those integrations, assign Templates or use Auto Nurture.


What is a backfill, and do I need to run one?

A backfill imports contacts that were in your CRM before you connected the integration.

  • New contacts added after the connection sync automatically.

  • If you had an existing database in your CRM before connecting to RealScout, run a backfill once, after configuring your account, to bring those contacts over.

This does not need to be done daily, weekly, or even monthly. The exception is when adding/onboarding a new Follow Up Boss team member to your RealScout team; a backfill may be needed (once) after they are connected. Then, new leads sync and update.


My brokerage uses MoxiWorks (or BoldTrail) but I do not see it on my Integrations page. What do I do?

MoxiWorks and BoldTrail are enterprise-level integrations.

Your brokerage admin must enable the integration before it appears on individual agent accounts. Contact your brokerage leadership to request activation. In the meantime, you can import contacts using a CSV file at Import Contacts.


I use Zapier, Rechat, MoxiWorks, or Realtor.com/Zillow Connect. Can I still use tag-based automation in RealScout?

Not initially.

Since external tags might not sync, in order to use tag-based Template automation, you’ll go to your Contacts page in RealScout to mass-add/edit tags or use Auto Nurture with a default template, for example:
