BoldTrail + RealScout: Integration Overview

Learn how the BoldTrail and RealScout integration works: which contacts sync, what activity pushes back to BoldTrail, how to use tags to control who imports, and how Enterprise brokerages can request the integration.

The BoldTrail + RealScout integration syncs contacts, agents, and offices from BoldTrail into RealScout and pushes contact activity from RealScout back to BoldTrail. It is a brokerage-level integration — your Enterprise account must have it set up company-wide before it is available to individual agents.

Important: This integration is available only to brokerages on an Enterprise plan that have enabled it company-wide with RealScout. If your company has not set up the integration, it will not be visible in your account. The integration is not available on Team or Individual plans. Enterprise leadership can request it using the instructions at the bottom of this article.


How to Set Up BoldTrail in RealScout

  1. Go to the Integrations tab in the left sidebar of your RealScout account.

  2. Scroll to the BoldTrail section.

  3. Your office has already enabled the company-wide integration. You will see the default settings:

    • Configuration is set to Import Contacts by Tags.

    • The default tag is RealScout.

  4. In BoldTrail, apply the RealScout tag to the contacts you want to sync to RealScout.

  5. Back in RealScout, click Back Fill Clients to import existing tagged contacts.

  6. Your contacts will appear in your Contacts tab in RealScout.

Tip: Only tag contacts in BoldTrail who have opted in or requested to receive property alert emails from you. Tagging contacts who have not opted in can harm your email deliverability.


Contact Syncing

BoldTrail to RealScout
When contacts are imported from BoldTrail into RealScout, the integration checks if they already exist using their BoldTrail ID. If the contact exists, their information is updated with the latest details from BoldTrail. If not, a new contact record is created.

When a new contact is added to RealScout — manually or through a Search Link — the contact is also created in BoldTrail, unless a contact with the same email already exists in the agent's BoldTrail account. New contacts sent from RealScout to BoldTrail will:

  • Be tagged with RealScout

  • Be set to Private

  • Have a lead status of Prospect

Eligible contact types
Only active contacts with a lead type of Buyer, Seller, or Renter can be imported from BoldTrail into RealScout. Vendor, Agent, and Archived contacts are excluded.

Backfilling contacts
By default, configuration is set to Import Contacts by Tags. Agents can manually import their existing tagged contacts from BoldTrail at any time by clicking the Backfill button on the Integrations page.

Contact removal
If a contact is archived or deleted in BoldTrail, that contact's record remains active in RealScout. RealScout does not automatically remove contacts when they are deleted in BoldTrail.

Agent assignment and transfer
Contact assignment is kept in sync between both systems. Contacts are assigned to the same agent in RealScout as they are in BoldTrail. If a contact is reassigned to a different agent in BoldTrail, they will be reassigned to that same agent's RealScout account.


Activity That Syncs from RealScout to BoldTrail

Contact actions in RealScout are pushed to the contact's activity timeline in BoldTrail.

  1. Property Views and Saves — When a contact views or saves a property in RealScout, that activity is sent to BoldTrail. The property must exist in both systems and the agent must be assigned to the correct MLS in both.

  2. In-App Messages — When a contact messages an agent in RealScout, the message content and any attached property details are added as a note in the contact's BoldTrail timeline.

  3. Agent Notes — When an agent adds a note to a contact in RealScout, it appears as a new note in that contact's BoldTrail timeline.


How to Request the BoldTrail Integration

If you are on an Enterprise plan and are the decision-maker for your brokerage, you may be eligible to enable the BoldTrail integration for company-wide use. This allows the feature to be available to all agents across your offices.

To get started, submit a request through the Support tab in the left sidebar of your RealScout account, or email brokersupport@realscout.com.

Note: An API key is required to complete the setup. Once the integration is configured at the brokerage level, all agents in the account will see BoldTrail in their Integrations settings.


Frequently Asked Questions

Is this integration available to individual agents or teams?
No. The BoldTrail integration is available only to brokerages on an Enterprise plan that have enabled it company-wide. Individual agents and teams on non-Enterprise plans cannot access it. If you believe your brokerage should have access, contact your broker or reach out to brokersupport@realscout.com.

What happens if I archive a contact in BoldTrail?
Archiving or deleting a contact in BoldTrail does not remove that contact from RealScout. The contact's record remains active in RealScout. If you need to remove a contact from RealScout, archive them manually from your Contacts list at realscout.com/agent/contacts.

Can I control which contacts sync from BoldTrail to RealScout?
Yes. The default configuration is set to Import Contacts by Tags — only contacts in BoldTrail tagged with RealScout will sync. You can add additional tags to broaden which contacts import. Only tag contacts who have opted in to receive property emails from you.

What contact types are eligible to sync from BoldTrail?
Only active contacts with a lead type of Buyer, Seller, or Renter can import from BoldTrail into RealScout. Vendor, Agent, and Archived contact types are excluded from the sync.

Does BoldTrail activity sync back to RealScout?
The activity sync is one-directional for most data: RealScout pushes property views, saved listings, in-app messages, and agent notes to the contact's BoldTrail timeline. Contact data and assignments sync bidirectionally, but BoldTrail activity does not push back into RealScout.
