Using RealScout with Rechat

Sync Rechat CRM contacts with RealScout: automatic contact syncing, field mapping, backfill options, avoiding duplicates. Learn what syncs between systems, best practices for contact management, and troubleshooting tips for integration.

Once Rechat is connected, your contact records can stay consistent across both systems. This guide focuses on day-to-day usage: where to make edits, what will sync, what will not, and the best practices that prevent duplicates and mismatched records.


What this integration is for

Rechat and RealScout sync contact record data so you can avoid maintaining the same person in two places.

This integration is designed for:

  • Keeping names, emails, phones, and addresses aligned

  • Ensuring new contacts created in Rechat appear in RealScout

  • Ensuring new RealScout sign ups and agent-added contacts can appear in Rechat

This integration is not designed for syncing RealScout engagement activity (for example, property views, saved homes, alert dashboard views) into Rechat.


What will sync automatically

Rechat → RealScout (ongoing sync)

When Rechat is connected:

  • New contacts in Rechat sync into RealScout.

  • Updates made in Rechat sync into RealScout.

  • Contacts deleted in Rechat are deleted in RealScout.

Fields that sync from Rechat to RealScout:

  • First name

  • Last name

  • Primary email

  • Secondary email

  • Primary phone number

  • Address

  • Lead source

RealScout → Rechat (new contacts only)

RealScout will sync newly created contacts to Rechat when the contact was created in RealScout by:

  • Self-serve contact sign up (lead signs up through your RealScout landing page)

  • Agent-added contact (you manually create a contact in RealScout)

Fields that sync from RealScout to Rechat (for those new contacts only):

  • Primary email

  • First name

  • Last name

  • Primary mobile number

  • Primary home number

  • Primary work number

  • Lead source set to RealScout

  • Address (street, city, state, zip)


What will not sync

RealScout will not push contacts into Rechat when those contacts were created in RealScout via:

  • Imports into RealScout

  • Other integrations syncing into RealScout

  • RealScout engagement activity and tags are not pushed into Rechat at this time.


Common workflows after you connect

1) “I added or updated a contact in Rechat. What should I expect?”

  • The contact should appear in RealScout automatically if they are new.

  • If you updated an existing Rechat contact (email/phone/name/address), RealScout should reflect that update.

Best practice:

  • Keep the primary email updated in Rechat. Email is the most important identifier for matching.

2) “A lead signed up on my RealScout site. Will it appear in Rechat?”

Yes, if it is a self-serve sign up in RealScout.

Best practice:

  • Use your Search Links, your "What's My Home Worth?" link, and Marketing Links for leads to sign up with you directly. These leads push to Rechat right away.

3) “I created a contact manually in RealScout. Will it appear in Rechat?”

Yes, if it was agent-added in RealScout.

Best practice:

  • Consider creating new contacts in Rechat when possible, then let them sync into RealScout.

  • Use your Search Links, your "What's My Home Worth?" link, and Marketing Links for leads to sign up with you directly. These leads push to Rechat right away.

4) “I imported a list into RealScout. Why didn’t it sync into Rechat?”

Imports in to RealScout won't push to Rechat.

Best practice options:

  • Import into Rechat first if your goal is to have the database represented in both systems.

  • Use RealScout imports only when you specifically want contacts inside RealScout (and you are not expecting them to populate Rechat).

  • If you connected Rechat and need preexisting RealScout leads in Rechat:

    • Export your current list of contacts from RealScout

    • Import them in to Rechat

    • They will not duplicate in RealScout

    • RealScout uses email addresses to verify and create leads, so nothing gets overwritten in RealScout if you do this


Backfill: when you should use it

After connecting, you can optionally run a one-time Back Fill Contacts to import existing Rechat contacts into RealScout.

Use backfill when:

  • You already have an established Rechat database

  • You've confirmed no non-client leads are in Rechat, such as your colleagues and non-marketing contacts (broker, MLS, personal emails)

  • You want those existing contacts available in RealScout

Do not use backfill as a recurring sync tool:

  • Backfill is meant to be a one-time pull of existing contacts, after which ongoing syncing continues automatically.


Avoiding duplicates and mismatched records

Use these safeguards:

  1. Do not “recreate” the same person in both systems.

    • Create the contact once (preferably in Rechat), then let syncing handle the rest.

  2. If you use multiple Rechat accounts, confirm you connected the right one before backfilling leads.

    • RealScout supports connecting to one Rechat account at a time.


Troubleshooting: if something did not sync

A contact did not appear in RealScout

Most common causes:

  • The contact was not created in your Rechat account (or is in a different Rechat account).

  • The integration is connected to a different Rechat account than yours.

What to do:

  1. Confirm which Rechat account is connected in RealScout.

  2. Create a brand-new test contact in Rechat with a unique email and see if it appears in RealScout.

  3. Share a screenshot of the lead with RealScout support using the messenger option in your account.

A RealScout contact did not appear in Rechat

Most common cause:

  • It was added prior to your Rechat integration setup

  • It was added via import or another integration, such as Realtor.com → RealScout or any tool → Zapier → RealScout.

What to do:

  • Create the contact in Rechat instead

  • Reach out to RealScout Member Support if the contact was truly a self-serve sign up or agent-added contact in RealScout.

You connected the wrong Rechat account

  • Delete the integration in RealScout, then reconnect and select the correct Rechat account.


Frequently Asked Questions

Does this integration sync RealScout activity into Rechat?

No. This integration is currently limited to contact record syncing. RealScout activities and tags are not pushed into Rechat at this time.

If I edit a contact in RealScout, will Rechat update?

No. Ideally, treat your CRM (Rechat) as the source of truth for ongoing contact profile edits, making changes you'd like to see in RealScout there too.

Can I connect more than one Rechat account?

No. RealScout supports one Rechat account connection at a time.

Will imports into RealScout populate Rechat?

No. Contacts imported into RealScout (or synced from other integrations such as Zapier → RealScout) are excluded from being pushed into Rechat.
