Using RealScout with Rechat

Day-to-day guide for the Rechat + RealScout integration: what syncs automatically, what does not, common workflows for managing contacts across both systems, how to run a backfill, and how to troubleshoot contacts that did not sync.

Once Rechat is connected to RealScout, contact records stay consistent across both systems automatically. This guide covers day-to-day usage: where to make edits, what will sync, what will not, best practices for avoiding duplicates, and how to troubleshoot contacts that did not sync as expected.


What This Integration Is For

Rechat and RealScout sync contact record data so you can avoid maintaining the same person in two places.

This integration is designed for:

  • Keeping names, emails, phones, and addresses aligned between both systems

  • Ensuring new contacts created in Rechat appear in RealScout

  • Ensuring new RealScout sign-ups and agent-added contacts appear in Rechat

This integration is not designed for syncing RealScout engagement activity (property views, saved homes, alert dashboard views, Scout Score) into Rechat.


What Syncs Automatically

Rechat → RealScout (ongoing sync)

When Rechat is connected:

  • New contacts in Rechat sync into RealScout.

  • Updates made in Rechat sync into RealScout.

  • Contacts deleted in Rechat are also deleted in RealScout.

Fields that sync from Rechat to RealScout:

  • First name

  • Last name

  • Primary email

  • Secondary email

  • Primary phone number

  • Address

  • Lead source

RealScout → Rechat (new contacts only)

RealScout syncs newly created contacts to Rechat when the contact was created by:

  • Self-serve sign-up — a lead signs up through your RealScout landing page, Search Link, or Home Value Alert link

  • Agent-added contact — you manually create a contact in RealScout

Fields that sync from RealScout to Rechat (new contacts only):

  • Primary email

  • First name

  • Last name

  • Primary mobile number

  • Primary home number

  • Primary work number

  • Lead source set to RealScout

  • Address (street, city, state, zip)


What Will Not Sync

RealScout will not push contacts into Rechat when those contacts were created in RealScout via:

  • Imports into RealScout

  • Other integrations syncing into RealScout (for example, Realtor.com → RealScout, or Zapier → RealScout)

RealScout engagement activity and tags are not pushed into Rechat.


Common Workflows After You Connect

1. "I added or updated a contact in Rechat. What should I expect?"

  • The contact should appear in RealScout automatically if they are new.

  • If you updated an existing Rechat contact (email, phone, name, or address), RealScout should reflect that update.

Best practice: Keep the primary email updated in Rechat. Email is the primary identifier used to match contacts between systems.

2. "A lead signed up on my RealScout site. Will it appear in Rechat?"

Yes — self-serve sign-ups push to Rechat automatically.

Best practice: Use your Search Links, Home Value Alert links, and Marketing Links so leads sign up directly with you. These contacts sync to Rechat right away.

3. "I created a contact manually in RealScout. Will it appear in Rechat?"

Yes — agent-added contacts sync to Rechat automatically.

Best practice: When possible, create new contacts in Rechat first, then let them sync into RealScout. This keeps Rechat as the source of truth for your contact database.

4. "I imported a list into RealScout. Why didn't it sync into Rechat?"

Imports into RealScout are excluded from the sync to Rechat — this is by design.

Options:

  • Import into Rechat first if your goal is to have the database in both systems. Contacts imported into Rechat will sync into RealScout automatically.

  • If you have existing RealScout contacts you want in Rechat: export them from RealScout, import into Rechat, and they will not duplicate in RealScout. RealScout matches on email address.


Backfill: When to Use It

After connecting, you can run a one-time Back Fill Contacts to import existing Rechat contacts into RealScout.

Use backfill when:

  • You already have an established Rechat contact database

  • You have confirmed no non-client records are in Rechat (broker, MLS, personal emails, colleagues)

  • You want those existing contacts available in RealScout immediately

Important: Backfill is a one-time action, not a recurring sync. After the initial backfill, new contacts sync automatically going forward. Do not use backfill repeatedly.


Avoiding Duplicates and Mismatched Records

  1. Create each contact once. Preferably in Rechat, then let the sync handle RealScout. Avoid recreating the same person in both systems manually.

  2. Confirm you connected the right Rechat account before running a backfill. RealScout supports connecting to one Rechat account at a time.


Troubleshooting: If Something Did Not Sync

A contact did not appear in RealScout

Most common causes:

  • The contact was not created in your connected Rechat account (or is in a different Rechat account).

  • The integration is connected to a different Rechat account than the one where the contact exists.

What to do:

  1. Confirm which Rechat account is connected in your RealScout Integrations settings.

  2. Create a brand-new test contact in Rechat with a unique email and confirm it appears in RealScout.

  3. If it still does not appear, contact Member Support via the messenger in your account.

A RealScout contact did not appear in Rechat

Most common causes:

  • The contact was added to RealScout before the Rechat integration was connected.

  • The contact was added via import or another integration (Realtor.com, Zapier, etc.).

What to do:

  • Create the contact in Rechat instead — it will sync into RealScout automatically.

  • If the contact was genuinely a self-serve sign-up or agent-added contact that should have synced, contact Member Support via the messenger in your account.

You connected the wrong Rechat account

Delete the integration in your RealScout Integrations settings, then reconnect and select the correct Rechat account.


Frequently Asked Questions

Does this integration sync RealScout activity into Rechat?
No. The Rechat integration is limited to contact record data. RealScout engagement activity (property views, saved homes, alert opens, Scout Score) and tags are not pushed into Rechat.

If I edit a contact in RealScout, will Rechat update?
No. Contact profile updates made in RealScout do not sync back to Rechat. Treat Rechat as the source of truth for contact profile edits — changes made in Rechat sync into RealScout, but not the reverse.

Can I connect more than one Rechat account?
No. RealScout supports one Rechat account connection at a time. To switch, delete the current integration and reconnect with the account you want to use.

Will imports into RealScout populate Rechat?
No. Contacts imported into RealScout — or synced from other integrations such as Zapier → RealScout — are excluded from the Rechat sync. To get those contacts into Rechat, import them directly into Rechat instead.

What is the best way to avoid duplicates when using both systems?
Create contacts in Rechat first, then let the integration sync them into RealScout. Avoid manually recreating the same contact in both platforms. RealScout uses email address as the match key — existing contacts will not be duplicated if their email already exists in RealScout.
