FAQ: Tag Automations, Tags & Templates

Answers to the questions agents ask most about RealScout tags, Tag Automations, and tag-triggered Templates.

These are the questions RealScout agents ask most about tags, Tag Automations, and tag-triggered Templates. Each answer stands on its own, so you can jump to the one you need.

Does tagging a contact trigger their alert instantly?

No, tagging a contact does not trigger their Listing Alert instantly. RealScout checks for tag matches on an hourly cycle, so allow up to one hour for the match to run. In addition, if the Template's send new alerts next day setting is turned off, the first alert waits for the next regularly scheduled send, which can be up to two weeks away. Keep the send new alerts next day setting enabled unless you have a specific reason not to.

Are tags case-sensitive?

No, tags in RealScout are not case-sensitive, so BUYER and buyer are treated as identical. Tags are spelling-sensitive, though: a hyphen, space, underscore, or typo creates a different tag. Any Tag Automation built on a misspelled tag stalls silently and never matches.

I tagged a contact with the wrong Template tag, can I undo it?

No, there is no retroactive removal in RealScout. Removing the tag does not remove the Listing Alert it already created. Open the contact's profile, go to the Email Alerts tab, and turn off the incorrect Listing Alert manually. To prevent this, use specific tags (for example buyer-boston-condo, not buyer), because a broad tag can send the wrong market's search to many contacts at once.

Why did so many contacts get an alert when I added a tag to my Template?

Any contact carrying the Template's tag matches that Template, both existing contacts and newly added ones. A generic tag such as buyer or lead can mass-assign the alert to everyone who already carries it. Use one unique, specific tag per Template to control exactly which contacts receive the alert.

Do Activity tags work if I don't use a CRM?

Yes, RealScout applies Activity tags to your contacts inside RealScout regardless of whether a CRM is connected. You can act on those Activity tags from the Tag Automations page using View tagged contacts. A tag-syncing CRM is not required for Activity tags to work.

Can I turn Activity tags off or create my own Activity tags?

No, Activity tags are built into RealScout and are not configurable, so you cannot switch them off or add your own Activity tags. Custom tags are the ones you create yourself, and they are used for segmentation and for Template automation. Activity tags remain read-only signals you can act on but not edit.

I removed an Action tag, why is the contact still archived?

Action tags fire once, at the moment the tag is applied, and removing the tag does not undo the action. If a contact was archived by an Action tag, removing that tag will not unarchive them. Unarchive the contact from the Archived tab in Contacts.

What is the difference between archiving and deleting a contact?

Archiving a contact turns off their alerts without deleting them, moves the contact to the Archived tab, frees up nurtured spots, and is reversible by unarchiving. Deleting a contact removes the contact, their history, and their alerts immediately. Archive when you want to keep the record, and delete only when you want the contact gone entirely.

Do Action tags work through Zapier?

No, Zapier cannot add tags to RealScout contacts, so it cannot trigger Action tags. Action tags require a tag-syncing integration such as Follow Up Boss, Cloze, or BoldTrail, or tagging the contact directly in RealScout. Without one of those paths, the Action tag will never reach RealScout to fire.

A contact reported a RealScout email as spam and now wants emails again. What do they do?

Only the contact can restore delivery after reporting a RealScout email as spam. The contact must email support@realscout.com directly to request reinstatement. The agent cannot override the spam report on the contact's behalf.
