RealScout tags every contact as they engage, syncs those tags to Follow Up Boss, and lets you both automate follow-up in Follow Up Boss and filter your contacts inside RealScout.
Automation cheat sheet and swipeable templates:
How RealScout tags work
RealScout applies these tags to your contact the moment they act: they sign up, engage with a search, alert, or email, ask about a valuation, or opt back out. The tag lands on the contact in RealScout first. When a tag-syncing CRM is connected (Follow Up Boss, Cloze, or BoldTrail), RealScout syncs the same tag onto that contact in your CRM, so a behavior in RealScout becomes a trigger you can automate.
There are two kinds. Activity tags are applied automatically as your contacts act, and you do not create them. Action tags work in reverse: you apply the tag and RealScout performs the matching action for you.
Note. Tags are spelling-sensitive, not case-sensitive. Match the tag name exactly when you build a filter or automation.
Filter your contacts by tag
You do not need a CRM to use these tags. Every tag is filterable inside RealScout, so you can pull up just the contacts who took a specific action. Open the Tag Automations page, use the three-dot menu on any tag row, and choose View tagged contacts, or filter your Contacts page by the tag.
Build Follow Up Boss automations from the tags
Each tag is a behavioral signal. In Follow Up Boss, attach the workflow that fits: an acknowledgment email, a call or task, or an action plan.
Create an automation in Follow Up Boss triggered by the RealScout tag you want to act on.
Choose the response that matches intent: a reply email for engagement signals, a call or task for hand-raises.
Add a last-email-more-than-1-day-ago condition where you already run a general email automation, so a contact does not get two emails for one visit.
Bonus, one general all-property-views automation: create a single Follow Up Boss automation for any property view or save that sends the first email, then keep the tag-specific automations for RealScout Property Viewed 3+ and RealScout Property Saved focused on tasks, so nobody gets a duplicate email.
Note. Allow 20 to 60 minutes after the contact's action for an activity tag to reach Follow Up Boss; action tags are checked hourly. Follow Up Boss automations run on activity going forward, not on bulk imports or brand-new leads. Test with one sample contact first, and do not create these tags by hand.
Every RealScout tag
Activity tags, which RealScout applies automatically:
Tag | When RealScout applies it |
Applied when a contact taps the heart icon on a listing to save it to their favorites.
Applied on a contact's third visit to any listing detail page.
Applied when a contact opens the View Open House Info panel on a listing.
Applied when a contact opens their Home Value Alert email or report page.
Applied when a contact replies to their Home Value Alert asking for a real home valuation.
Applied when a contact submits a cash-offer request from their Home Value Alert.
Applied the first time a contact opens a Market Activity Alert email or page.
Applied when a contact sends any conversation message back to the agent.
Applied when a contact submits a Request a Showing form on a listing.
Applied when a contact signs themselves up on your RealScout site, through a search sign-up, a What's my home worth report, or any client-facing form.
Applied when a contact unsubscribes from all of their RealScout email alerts at once.
Applied when a contact turns off one of their own alerts: a Listing Alert, Market Activity Alert, or Home Value Alert.
Applied when RealScout's email delivery system reports the contact's email address is malformed or unverifiable.
Applied when a contact clicks Report Spam on a RealScout email.
Applied when RealScout's email delivery system reports a hard bounce or block on the contact's email.
Action tags, which you apply so RealScout acts:
Tag | What RealScout does |
Archives the contact in RealScout.
Disables all of the contact's email alerts.
Disables the contact's Listing Alerts only; Market Activity Alerts and Home Value Alerts keep sending.
The three email-health tags carry a Permanent badge because they flag a delivery problem that stays in place until it is resolved.
Frequently asked questions
Do these tags work if I don't use Follow Up Boss?
Yes. RealScout applies every tag to your contact regardless of your CRM, and you can filter your contacts by any of them inside RealScout. A connected tag-syncing CRM lets you trigger automations from the same tags.
What is the difference between an activity tag and an action tag?
An activity tag is applied automatically when your contact does something, and you build automations that respond to it. An action tag is one you apply to a contact so RealScout does something for you, such as RealScout Archive Contact.
Why did my automation not fire on a contact I just imported?
Follow Up Boss automations run on activity going forward, not on bulk imports or brand-new leads. The tag fires the next time that contact takes a qualifying action.
What does Permanent mean on a tag?
The three email-health tags, Email Validation Failed, Email Spam Reported, and Email Rejected, stay on the contact as a lasting record rather than clearing on the next action.
How long until a tag reaches Follow Up Boss?
Allow 20 to 60 minutes after the contact's action for an activity tag to sync. Action tags are processed on an hourly cycle.
