How to Capture Leads in RealScout Using Zapier with Google Sheets or Google Forms

If you capture leads in a Google Sheet or through a Google Form, you can use Zapier to automatically create RealScout contacts from each new entry — no CRM required.

A Google Sheet row or a Google Form submission can automatically create a RealScout contact via Zapier. The setup is straightforward; the ongoing field discipline is what keeps it working reliably.


Email is required. A Zap row or form submission without a valid email address will fail to create a RealScout Contact. Add a Zapier Filter step before the RealScout action to stop the Zap if Email is empty, and make Email a required field on any Google Form you use.

All three patterns use the same Zapier action: RealScout → Create Client.


Spreadsheet pattern: Google Sheets to RealScout

Before building the Zap, set up a clear column structure in your Google Sheet. Minimum recommended columns: Email, First Name, Last Name, Phone, Lead Source, and Date Added. Email is required for RealScout contact creation.

Do not rearrange columns after building the Zap. The Zap maps fields by column position. Rearranging breaks the field map silently. Append new columns to the right and update the Zap afterward.

To build the Zap:

  1. Log in to Zapier and click + Create Zap.

  2. Set the Trigger app to Google Sheets and the Trigger event to New Spreadsheet Row.

  3. Connect your Google account, then select your spreadsheet and worksheet.

  4. Set the Action app to RealScout and the Action event to Create Client.

  5. Map fields: Email, First Name, Last Name, Primary Mobile Phone, and Lead Source from your column headers.

  6. Add a Filter step before the RealScout action: only continue if Email is not empty. This prevents silent failures when rows have a blank email.

  7. Add a test row to your sheet and click Test trigger in Zapier to confirm the data appears.

  8. Click Test action and verify the contact appears in Contacts in RealScout with the correct Lead Source.

  9. Click Publish Zap.

The Zap fires on new rows only. Editing an existing row does not re-trigger the Zap. To get a corrected contact into RealScout, add a new row or manually create the contact in RealScout.


Form pattern: Google Forms to RealScout

Design your form with the fields the Zap needs: Email (required, with email validation on), First Name (required), Last Name, Phone, and Lead Source. For multiple capture surfaces with different Lead Sources, build a separate form per source with a static hidden Lead Source value — one Zap per form keeps Lead Source data clean.

  1. Log in to Zapier and click + Create Zap.

  2. Set the Trigger app to Google Forms and the Trigger event to New Form Response.

  3. Connect your Google account and select your form.

  4. Set the Action app to RealScout and the Action event to Create Client.

  5. Map form question responses to RealScout fields.

  6. Test by submitting a test form response, then confirm the contact appears in Contacts in RealScout.

  7. Click Publish Zap.

Alternative: In your form's Responses tab, click Link to Sheets to connect the form to a Google Sheet response sheet, then trigger off Google Sheets → New Spreadsheet Row instead. This gives you an audit log in the sheet alongside the RealScout contact.


Combined pattern: form populates sheet, sheet triggers Zap

  1. Build your Google Form.

  2. In the form's Responses tab, click Link to Sheets to create a linked response sheet.

  3. In Zapier, build the Zap with Google Sheets → New Spreadsheet Row as the trigger, pointing at the linked response sheet.

  4. Map fields and publish as in the spreadsheet pattern above.

Every form submission populates the sheet automatically. The Zap fires on the new row. There is a brief lag of one to two seconds between form submission and row creation — this is expected behavior.


Field discipline: what keeps this pathway working

  • Email must be filled. Empty email rows fail silently. Use a Filter step in Zapier to stop the Zap if Email is empty, and make the Email question required on the form.

  • Lead Source values must be consistent. Spelling differences matter. Pick your Lead Source values and use them exactly. This enables Lead-Source-keyed Templates in RealScout.

  • One row per contact. Do not combine multiple contacts in one row.


Configure Auto Nurture for this pathway

Because there is no CRM running a parallel sequence, Auto Nurture is your primary nurture engine for Zapier-captured contacts.

  1. Open Auto Nurture and click Update Settings.

  2. Set Default Map Location to your primary market.

  3. Set automation mode to All new contacts.

  4. Under Fallback Templates, select a Listing Alert Template and a Market Activity Alert Template.

  5. For contacts captured via a form that includes search criteria, build Templates keyed to the form's Lead Source value.
