Step-by-Step Guide to Searching, Filtering, and Saving Alerts

1. Choose the data feed or MLS search scope 0:06

  • Start by selecting the data feed you want to search within.

  • If your feed is separated by property class, choose the appropriate class.

  • If you have multiple connected memberships, you can run a cross-MLS search instead.

    Cross-MLS Searching

    On the Search page, click Change Listing Service & Property Class to switch between search types (Residential, MultiFamily, Residential Lease, etc.), depending on what's connected to your account.

    To search across multiple MLSs at once, select Cross-MLS (Basic Criteria). Note that this switches to a basic search form; advanced filters aren't available in this mode. Make sure each MLS you want included is approved and activated on your account, then click Start Searching.

2. Understand the main search page layout 0:15

  • The search page includes:

    • Filters that vary by data feed

    • A map view

    • A results view

  • Switch between list, map, and photo views depending on how you want to review listings.

3. Apply general search filters 0:25

  • Use the general filter section to narrow results by:

    • Status

    • Price

    • Property type

    • Architectural style

    • Listing conditions

  • These filters help you quickly reduce the search to the most relevant listings.

4. Search by location using text, boundaries, or the map 0:34

  • Enter cities or areas directly from the MLS.

  • Use the third-party boundary search field for location-based searching.

  • Interact with the map to:

    • Draw custom polygons

    • Draw circles

    • Exclude areas you do not want included in the search

  • Narrow results by school district.

  • Add feature-based filters such as:

    • Pool

    • View

    • Parking

    • Other property-specific features available in the feed

6. Filter by dates, open houses, and photos 0:55

  • Search within a date range.

  • Find listings with open houses this weekend.

  • Limit results to listings that include photos.

  • Click Add Filter to expand your search options.

  • Use additional filters when you need more precise results.

  • This is also where you prepare the search before saving it.

8. Save the search and create client alerts 1:01

  • Open the Save Search menu when your search is ready.

  • Save the search to create alerts for clients.

  • Choose the alert setup that matches how often you want updates sent.

9. Set the alert schedule and notification preferences 1:09

  • Choose a delivery schedule such as:

    • Daily

    • Weekly

    • ASAP

    • Monthly

  • For weekly alerts, you can unselect most days to control timing.

  • Set your preferred notification settings before saving.

10. Send the initial results if prompted 1:18

  • After saving, a pop-up may appear asking whether you want to send the initial results manually.

  • If you choose an on-demand alert, you can add a custom message for the client.

  • This lets you send the first batch of results immediately with context.

11. Manage alerts from the Listing Alerts Dashboard 1:26

  • If you skip the initial send, future matches will go out based on your saved settings.

  • Go to Email Alerts to access the Listing Alerts Dashboard.

  • From there, you can track all listing alerts, including:

    • Hand-picked alerts

    • Disabled alerts

  • Make quick edits to alerts anytime from one central place.
