How to Log RealScout Engagement to Google Sheets

Use Zapier to automatically write RealScout client events and email engagement to a Google Sheet for searchable, sortable activity tracking.

Google Sheets gives you a searchable, sortable log of RealScout activity — who saved a property, who clicked a listing alert email, and when — without requiring a CRM. Use Zapier to write that data automatically as events happen.


Set up your Google Sheet

Create a new Google Sheet and add the following headers in Row 1:

Name the sheet tab something descriptive — for example, "RealScout Activity." The Zap appends a new row each time an event fires.


Build the Zap — client events version

This version logs property activity such as Viewed, Saved, and Hidden.

  1. Log in to Zapier and click Create Zap.

  2. Set the Trigger app to RealScout, event New Client Event.

  3. Connect your RealScout account and test the trigger.

  4. Add a Filter step: Event Type exactly matches Saved (or whichever event you want to track).

  5. Set the Action app to Google Sheets, event Create Spreadsheet Row.

  6. Map the fields: Date → Zapier date formatter; Contact Name → First Name + Last Name; Email → Email; Event Type → Event Type; Details → property address or listing info; Lead Source → Lead Source.

  7. Click Test Action to confirm a row appears in your sheet.

  8. Click Publish.

Start with Saved events. Logging every property view can generate hundreds of rows per day for an active agent. Start with Saved and Clicked email events only, then expand once you understand your volume. Each row written is one Zapier task against your monthly budget.


Build the Zap — email events version

This version logs Listing Alert email engagement — opens, clicks, and deliveries.

  1. Set the Trigger to RealScout, event New Email Event.

  2. Add a Filter: Event Type exactly matches Clicked (opens generate too much noise to log at scale).

  3. Set the Action to Google SheetsCreate Spreadsheet Row.

  4. Map the same columns, substituting email event details for property details.

  5. Click Publish.


Tips for keeping the sheet useful

  • Use Zapier's date formatter to standardize timestamps — raw date fields produce inconsistent formats across rows.

  • Add conditional formatting in Sheets to highlight Saved events in green. These are your highest-intent signals.

  • Create a pivot table to count engagement per contact per week — a quick read on who is active.

  • Use filter views if multiple agents share the sheet so each agent sees only their Contacts without changing the underlying data.
