How to Archive Contacts

Archiving contacts in RealScout helps you maintain a tidy Nurtured Contact list and stay within your preferred number of nurtured contacts. Once a contact is Archived, it will no longer count toward your active nurtured contacts.

Overview of Contact Management in RealScout

RealScout allows you to manage your contact list by archiving, deleting, or reactivating contacts. Each option serves a specific purpose:

  • Archiving temporarily hides contacts without deleting their records.

  • Deleting removes a contact permanently but allows for recovery under specific conditions.

  • Reactivating enables previously deleted or deactivated contacts to return to active status. Understanding the differences and associated processes ensures you can manage your client list efficiently.

Differences Between Archiving and Deleting Contacts

When deciding between archiving or deleting a contact, consider the following distinctions:

  • Archiving: This action hides the contact from your active and nurtured lists and stops RealScout notifications. However, the contact’s record remains in your account and can be unarchived at any time to restore their active status. This is useful for clients you may want to work with again later.

  • Deleting: This action permanently removes the contact from your account and prevents you from re-adding the same record via CSV uploads until it is first restored from deletion. To avoid unnecessary deletion and re-adding cycles, it’s better to archive a contact if you anticipate needing their information later.

Steps to Unarchive Contacts

If you have archived a contact and need to reinstate it to your active list, follow these steps:

  1. Navigate to the "Archived" section within your contact management screen.

  2. Locate the contact you wish to unarchive and select their name.

  3. Click the blue Unarchive button. This action will return the contact to your active list and resume notifications and other account interactions.

Steps to Archive Contacts

  1. Go to Contacts on the left navigation bar within your RealScout account.

  2. Next, you will land on the Nurtured tab, using the checkboxes, select one or all contacts you’d like to remove from nurturing.

  3. Click More Actions in the top-right corner.

  4. Choose Archive Contacts(#).

Steps to Restore or Reactivate a Deleted/Deactivated Contact

Accidentally deleting or deactivating a contact, or losing access due to external changes (e.g., CRM integrations), doesn’t mean the information is lost forever. To restore or reactivate a deleted contact in RealScout:

  1. Use the contact management tools to locate the contact record. If the contact was affected by external changes, ensure their details (such as name and email) are accurate.

  2. Open the contact’s profile.

  3. Follow the in-app steps to re-enable or reactivate their status. This typically involves a "reactivation" or "enable" option that restores them to the client list.

That’s it! Your selected contacts are now archived and will not be included in your total of nurtured contacts.
