RealScout Migration Service
You have two options to migrate to RealScout:
Option 1) We can import your database of leads, prospects & clients who you want to receive listing alerts. If you want, we can send them an email inviting them to create their own search, resulting in them getting auto emails about properties that meet the criteria they specify.
Option 2) Based on the rules and regulations set forward by your MLS and broker we may be able to transfer your existing active alerts from another system over to your RealScout account! Just let us know what system you are currently using and we'll copy the searches over.

Hi Members!
This general video tutorial was created using CRMLS.
Filter names and options vary depending on the MLS feed being used
The Add/Remove Search Option is not available in all search pages
The search fields are provided to us by the MLS/Listing Service and they may have different names than the ones shown in this video tutorial (the reason is because not all MLS/Listing Services use the same filter names)
Have questions or can't find a specific search field? Please send support@realscout.com an MLS Printout example along with the name of the search field you are looking for and our Member Success Team will be happy to help!
-
Please click here for an updated version.
Video Tutorial Highlights:
- Search page per MLS and Property Class
- This is a general overview of how to choose a search page when adding an alert (search)
- The Listing Services and Property Classes that are shown in this video may vary depending on the MLS Memberships in each agent’s individual account
Details Description:
If you start creating a property alert using the Orange “Add Alert” button at the top right of the page OR within a specific client account by clicking the blue “Add Another Listing Alert” button in the center of the page, there will be a pop up prompting you to select the property class and MLS simply click that drop-down menu to select which Property Class and MLS you want to search with. Then select your client and click START SEARCHING. - Search page per MLS and Property Class
-
Description:
If you want to quickly edit the Settings of an existing alert, you’ll need to go to your client’s account.
Click on the CLIENTS tab, find your client’s name and click on it. Their account will open and you will land on their LISTING ALERTS tab. Here you can quickly edit the Frequency of all of their searches if needed.
The Frequency section has a drop down menu for you to choose the new preferred alert schedule:
- ASAP - Immediately
- HAND - PICKED - Manually sent out by you
- DAILY - Everyday or uncheck days as needed
- MONTHLY - Once a Month
- DISABLED - Stop/Pause a search from sending email alerts
Disabled is like pausing a search, so you would keep the client and their alert in RealScout, without them receiving any additional emails.
You can also Delete an alert or Copy an alert to the same client or a different client, and get into the alert itself.
Click on View/Edit if you'd like to edit the filters or for more Alert Settings & Schedule options.

Seamlessly Add Leads to RealScout. Record Activity in FUB
Overview
Follow Up Boss (FUB) is an agent level integration that allows the account owner in FUB to connect their account to their RealScout agent account and also perform account connection for any teammates in FUB. The integration allows:
- Backfilling prior leads from FUB into RS
- Syncing leads from FUB into RS as they are added to FUB
- Allowing lead transfer in RS based on transfers in FUB
- Pushing activity information from RS to FUB
- Adding custom fields and associated data to FUB
- Individual agent level opt out
Lead Syncing from FUB to RS
The integration allows lead flow from FUB to RS via two methods: backfill and ongoing sync. In both cases, the Account Owner can choose to limit which leads are imported by clicking the configuration option Import Tagged Leads and specifying which tags to import, during integration set up.
Lead Transfer
If the account owner selects the
Transfer Leads
option the system will attempt to transfer leads between agents based on FUB data. In order for this to work the receiving agent must be one of the Team Members displayed in the FUB integration pane.Delete Leads
If the account owner selects the
Delete Leads
option the system will delete leads in RealScout when they are moved to theTrash
stage in FUB or when the agent uses theDelete People
(hard delete) functionality in FUB. Per our data retention policy, client accounts that have been deleted will have all information purged within 30 days of being marked for deletion.Pushing Activity To FUB
All agents that are part of an integration with the
Enabled
option selected will automatically have activity data pushed from RS to FUB. The system currently pushes the following data types:- Property views
- Marking a property as interested
FUB will either push that activity into an existing lead’s profile or create a new lead and then push the activity data. FUB matches lead profiles based on email first and phone number second. Since our phone numbers are not unique within RS we are only passing up email data and any newly created lead profiles in FUB will not include phone number data from RS.
Activity data will appear in the bottom right pane of FUB and the property links will link back to the agent view of the property in RS. The
View in RealScout
button will link back to the client’s profile page in RS. Certain activities will also be highlighted in the center dashboard in FUB.Custom Fields
Custom fields are a feature of FUB that allow us to push arbitrary data from RealScout into FUB. They are controlled from FUB by the account owner or via API access through the Account Owner’s API token. They can be seen from FUB within the Admin section.
Once a custom field is available, data can be populated in that field for each client within the FUB account.
We currently have four custom fields:
- RealScout Alerts Link: Url that links back to the agent’s view of the client’s alert page.
- RealScout Home Value Alert Count: Number of active HVAs. An active HVA is one that is not disabled.
- RealScout Listing Alert Count: Number of active listing alerts. An active listing alert has a schedule that is not disabled.
- RealScout Market Alert Count: Number of active market alerts. An active market alert has a schedule that is not manual.
Custom fields can be used to create smart lists by filtering on values. To filter based on the fields, agents can navigate to the People view in FUB and then select Filters and the relevant custom field.
Custom Fields available for Filtering:

There are many ways to utilize RealScout in your everyday Social Media posts, we'd like to highlight a few here that are asked for from our Member Success coaches often.
Creating a search to share on social media:
1. Here's a video to help you learn to do this: https://support.realscout.com/hc/en-us/articles/360016702971-How-to-create-a-search-to-share-on-Social-Media
Quick tip: Use an Excel or Google Sheet to keep track of the searches you create, our url's update based on your Listing Service data, so no need to constantly recreate! Just reuse!
I've created one you can download here: My RealScout URL List
3. Use RealScout links on your Website
Lots of agents use our shareable links on their website. You can hyperlink these urls to images or text. Either way its a great way to highlight specific areas you specialize in on your website. Your clients will be taken to your RealScout account and if you enable Forced Sign Ups, they'll need to sign up to search with you!
Here's a great example of what one realtor did on her site, each neighborhood to the left of the map is hyperlinked to her RealScout social searches:
4. Use Zapier to make your life easier!
RealScout offers lots of great Integrations you can use to bring in leads, create alerts or track your users. Zapier however has changed the game in what you can and can't do with RealScout and a plethora of other sites you use. Here's a great article about how one agent used Zapier to save 4 hours every day: https://zapier.com/blog/matt-keller-williams/
Zapier does offer free accounts, but as any site you may have to upgrade to use their more advanced Zaps. If you use lots of tools on a daily basis it would certainly be a great option for you.

What is MLS Reciprocal Access on RealScout?
In some markets, MLSes may have a reciprocity agreement that also applies to RealScout. In these cases, being a member of a particular MLS also grants you access to listings in another MLS.
How do I know if I have access?
When creating a search alert on RealScout, you will be asked to choose the MLS and Property Class. If you have access to more than one MLS, you will see it as an option.
Click here to read FAQs for region-specific MLS reciprocity information.
How do I access reciprocal MLSes?
When creating a search alert on RealScout, you will be asked to choose the MLS and Property Class. You can also click the “Change” link at the top of search alert settings.
Select “Cross-MLS Search” to create a search alert that returns results from all the MLSes to which you have access. A Cross-MLS search will only use basic fields which can be normalized across the different MLS data feeds.
To create a search alert using Advanced Fields, you must select the specific MLS. If you need to use Advanced Fields across multiple MLSes for a client, then you will need to create separate search alerts for each MLS.
Can I help my client search listings in multiple MLSes at the same time?
Yes, you can create a Basic search alert across MLSes by selecting “Cross-MLS Search”.
To create an Advanced search alert for multiple MLSes, you will need to create a separate advanced search alert for each MLS.
What if I’m a member of more than one MLS?
If you are a member of more than one MLS, then you should have access to all your MLSes regardless of any reciprocity agreements. Please contact support@realscout.com if you do not see an MLS in RealScout for which you are a member.
What’s the difference between a reciprocity agreement and a data share agreement?
A reciprocity agreement between MLSes allows members of each MLS to access data from the other. A data share agreement allows the listings in one MLS to be shared and included in the data feed of the other MLS. In the former, RealScout would still have two separate data feeds. In a data share agreement, you would see data from multiple MLSes in the same data feed.
