How to Clean Up Your Contacts in RealScout Using Follow Up Boss

If you have contacts with email issues, such as bounces or spam reports, you can identify them quickly and take action using Follow Up Boss smart lists and RealScout’s actionable tags. This helps keep your database organized and protects deliverability while managing your nurtured contact count.


Use these tags in Follow Up Boss to find contacts with email issues

RealScout Email Validation Failed

  • This contact’s email is invalid, either due to spelling or other error

RealScout Email Rejected

  • This contact’s email bounced, or their email is now temporarily unable to receive emails from RealScout.

RealScout Email Spam Reported

  • This contact reported a message as spam, and their email is now blocked from receiving further RealScout marketing emails.

Create a smart list in Follow Up Boss to round them all up quickly.

  • RealScout's alerts may send using a different provider than your past marketing outreach.

  • Due to differences in contact validation, recipient's own email rules, and even accidentally marking as spam are some of the reasons this can occur.


What You Can Do with Actionable Tags

Use these tags to take cleanup actions from Follow Up Boss:

RealScout Archive Contact

  • Moves contacts out of the nurtured pool in RealScout.

  • Turns off all alerts, but preserves their disabled alerts and activity history.

  • This person no longer count towards your Nurtured Contact usage

RealScout Disable All Alerts

  • Turns off all alerts but leaves the in Nurtured tab in RealScout

RealScout Disable Listing Alerts

  • Disables all Listing Alerts (searches) the lead has but keeps Market Alerts & Home Value Alerts active.

  • Use this tag if you've accidentally turned on Auto Nurture and they set up a search.

Tip: Before tagging for archive, confirm the email is truly invalid and the contact has not engaged recently, such as no property views or email opens.


General Steps for RealScout's Follow Up Boss Contact Cleanup:

Step 1: Access Follow Up Boss

  • Log into your Follow Up Boss account.

  • Go to People.

Step 2: Identify Contacts to Clean Up

  • Filter contacts using tags. (Learn more about tags from FUB, here)

  • Focus on contacts tagged as Email Rejected, Spam Reported, or Email Invalid.

  • Spot check a sample of emails to confirm they are truly invalid or unengaged.

Step 3: Archive Invalid Contacts in RealScout

  • For contacts you confirm are invalid or no longer needed for nurture, apply the tag RealScout Archive Contact.

  • This moves the contact out of the nurtured pool and turns off their alerts in RealScout without deleting the record in RealScout.

Optional: If you do not want to archive the contact, use RealScout Disable All Alerts or RealScout Disable Listing Alerts instead. This will leave them in a nurtured state on RealScout.

Step 4: If you need to help reactivating alerts for Capture Valid Emails That Were Incorrectly Tagged

  • If you find contacts with valid emails that were incorrectly tagged, compile a list of those contacts.

  • Include the contact’s name and email address


Step 5: Export Your FUB Contacts for your Records

  • If you need to keep a record of the valid leads you reviewed, export them from Follow Up Boss.

  • Use the export feature to generate a spreadsheet, or share the exact emails in a plain text conversatoin to RealScout support

  • After you export or document your valid contacts, return to the contacts list.

  • Remove incorrect tags in FUB like Email Rejected or Email Invalid from contacts you confirmed are valid.


If Needed, Contact Support for Review of Bounces (not Spam reports)

  • Email your compiled list of verified active leads to RealScout or use the in-site support chat to message and request a manual review of the valid emails.

  • Include any notes you have for the emails are valid and should not be treated as rejected or invalid.

Spam Reporters are not able to be reviewed in this way: if they've reported an email as Spam, RealScout requires direct written opt-in to reactivate their RealScout marketing. They or you can send/CC the lead and message support@realscout.com to learn more about Spam review steps.


Tips for Efficiency

  • Use smart lists to save your filters and repeat cleanup quickly.

  • In RealScout, you can change your contacts view to show 100 contacts at a time to speed up review.
