Zapier connects RealScout to CRMs and tools RealScout does not integrate with natively, like Sierra Interactive, LionDesk, Lofty, GoHighLevel, and Curb Hero. This guide covers exactly what Zapier can move, what it cannot, and the recipe for each tool.
RealScout does not offer a public API for general developer access, so Zapier is the bridge to anything outside RealScout's native integrations. If you use Follow Up Boss (team owners), Cloze, MoxiWorks, BoldTrail, or Rechat, a native integration may already cover you with more fields and no per-event setup. Everyone else, and any Core-plan account, uses Zapier.
What RealScout exposes to Zapier
Every Zap you build uses one of these. Knowing the full set up front tells you what is and is not possible before you start.
Three triggers (RealScout tells Zapier something happened):

The boundary, stated plainly. Zapier can put a contact into RealScout and react to what a contact does in RealScout. It cannot update an existing RealScout contact, write a tag into RealScout, create an alert, or push a property address, saved search, or note in. And Create Client does not deduplicate by email, so the same person captured twice makes two contacts. Plan around basic contact fields, one direction at a time.
Connect RealScout to Zapier
Do this once. Every Zap reuses the same connection.
Open your RealScout Integrations page and copy your Zapier API key.
Go to zapier.com and log in.
When Zapier prompts you to connect RealScout, paste in your API key.
If you are on a team, a Zap only syncs leads for the agent whose account it is connected to. Configure the Zap to include all agents, or build one Zap per agent, or new agents' leads will not sync.
Send a lead into RealScout
Use this when leads arrive somewhere else first, a form, a spreadsheet, or a CRM, and you want them in RealScout automatically.
In Zapier, click Create Zap.
Set the Trigger app to wherever the lead originates.
Set the Action app to RealScout, action Create Client.
Map the fields. Only Email is required; First Name is strongly recommended.
Click Test step to confirm a contact appears in RealScout, then Publish.
Tip: Zapier's Copilot can build the Zap for you. From your Zapier dashboard, describe what you want, for example "create a RealScout contact when I get a new HubSpot contact," and review the draft before turning it on.
Send RealScout activity to your CRM
Use this when you want your CRM to hear about it when a RealScout contact views a listing, saves a property, or opens an email.
In Zapier, click Create Zap.
Set the Trigger app to RealScout and pick the trigger: New Client Event or New Email Event. Then set the Event Type field to the specific event you want (Saved, Viewed, Opened, and so on).
Set the Action app to your CRM, and configure a note, task, or contact update, however your CRM supports it.
Click Test step, then Publish.
One automation per event. A Zap set to New Client Event, Saved will not also fire for Viewed. Build a separate Zap, or add a Zapier Filter step, for each event you want to act on. Avoid acting on every Email Opened, it fires often enough to burn through monthly Zapier task limits.

Set it up once, for any tool
The per-tool guides all share the same three practices. Get them right one time and every Zap benefits.
Gate enrollment with a tag. Do not sync your whole database at once. Syncing everything in your first two weeks on RealScout can hurt your sender reputation. Tag the contacts you want, sync in batches of 25 to 50 a day, and let deliverability build.
Test with one real record before publishing. Apply your tag or add one test lead, run Test step on both the trigger and the action, confirm the contact in RealScout Contacts, then publish.
Set up Auto Nurture to catch the new contacts. A Zapier contact only gets an alert if Auto Nurture is on. Open Automations, Auto Nurture, set your Default Map Location, and either apply Auto Nurture to all new contacts or apply a Template by hand afterward. See Auto Nurture Overview & Settings.

On Zapier's free plan, triggers poll for new events roughly every 15 minutes, so a synced lead can take that long to appear. Paid plans poll more often.
Why tagged automations skip Zapier contacts
Zapier cannot send tags to RealScout, so any automation that depends on a tag will not fire for a contact who arrived through a Zap. A Template set up under Email Alerts, Templates, Setup Tag Automation only fires for contacts carrying a tag RealScout can see: contacts from a native integration, or contacts you tag inside RealScout yourself. If Auto Nurture is scoped to tagged contacts only, Zapier contacts sit in Awaiting Nurture with no alert.
Two ways around it: set Auto Nurture to apply to all contacts, or apply a Template by hand from Contacts, More Actions, Create Alerts from a Template.
This limitation runs one way only. RealScout still applies its own activity tags to Zapier-sourced contacts, so Property Viewed and the email-error tags work normally, and those can trigger a Zap going back out to your CRM.
For builders: AI and code access
Beyond visual Zaps, Zapier also exposes the RealScout Create Client action to AI agents and to code, for technical users who want it. Zapier's MCP lets an AI assistant call the action in natural language. The Zapier SDK exposes it in backend code, with Zapier handling authentication and scoped permissions. This is optional and most agents never need it. For setup, follow Zapier's own developer documentation from your Zapier account rather than configuring it in RealScout.

Troubleshooting
The Zap ran but the contact did not appear in RealScout.
Confirm the email field is mapped and contains a valid address, email is required. Then check Zap History in Zapier for the failed run.
The contact synced but never got an alert.
Check Automations, Auto Nurture. If it is scoped to tagged contacts, the Zapier contact will not match. Find them under Awaiting Nurture and apply More Actions, Create Alerts from a Template.
The same person came in twice.
Create Client does not deduplicate by email. Merge or archive the duplicate in RealScout, and add a Zapier Filter step upstream if a source keeps sending repeats.
The Zap runs but I do not see property activity in my CRM.
Confirm the Event Type on your trigger. New Client Event, Saved will not also catch Viewed. Each needs its own Zap or filter.
Leads are not syncing for new agents on my team.
A Zap connected to one agent's account only syncs that agent's leads. Configure it to include all agents, or build one per agent.

Can Zapier tag my RealScout contacts or set up their alerts?
No. Zapier cannot write tags or create alerts inside RealScout. Use Auto Nurture to catch Zapier contacts automatically, or apply a Template by hand. For tag-based automation, a native integration (Follow Up Boss, Cloze, BoldTrail on Enterprise) is required.
Does RealScout have a direct integration I should use instead of Zapier?
If you or your team owner use Follow Up Boss, Cloze, MoxiWorks, BoldTrail, or Rechat, a native integration may already cover you with more fields and no per-event Zap.
Can RealScout set up Zapier for me?
No. RealScout does not manage Zapier workflows. Build it yourself, use Zapier's Copilot to draft it, or check whether your CRM provider offers setup help.
