Tag-Based Automation: Scale Your Templates & Sharpen Your Follow-Up

Do this before or during your setup.

1. Confirm you have at least one template Navigate to Templates. If you see zero templates, click on "Create a Template" to use a recent search.

2. Have your Contacts page open Navigate to Contacts. Know your approximate contact count and think about 2 to 3 lead types you work with most (buyers in a specific area, sellers in a specific neighborhood, investors, etc.).

3. Think through your answer to this question before we start: “If I could auto-assign a search alert to every contact who fits a specific profile, what would that profile look like?”

You do not need to write anything yet – just have a real example in mind. We will build it live.

4. Make sure you are logged into RealScout on your laptop: The mobile app will not have the full template or tag workflows.


Next Steps:

Step 1: Create your first automated template (15 minutes)

  1. Click + Create a Template

  2. Borrow or build criteria for one specific lead type (example: buyers looking for single-family homes in your top zip code, $400k-$600k)

  3. Name it descriptively

  4. Add a unique tag to the template

  5. Save

The tag is what connects this template to contacts. Make it specific enough that it will not accidentally start for unintended contacts.

Step 2: Find your first 5 to 10 contacts to tag (10 minutes)

Navigate to Contacts

  1. Think about who fits the template you just built

  2. Select the relevant contacts' profiles

  3. Add the matching tag using More Actions

  4. Within an hour, the alert should appear on their profile under Email Alerts, and you can also view this on the related Listing/Market Alert dashboard.

Step 3: Prep your tagging process going forward (5 minutes)

Decide how you will tag future contacts:

  • At the point of adding them manually (there is a Tags field in the Add Contact form)

  • Via CSV import (RealScout's Contact Import has a Tags column)

  • If your CRM (Cloze and Follow Up Boss) support external tag syncing.


How It Works:

Built-In Tags

RealScout automatically applies certain tags to contacts based on system activity. These tags reflect actions the contact has taken, such as engaging with a listing 3+ times or when an email is rejected. Learn more here.

RealScout tags give you an active signal about contact behavior without any setup required on your part.

Your Tags

Custom tags are "tracking labels" that you create and apply to contacts. They have no automatic behavior on their own, without a template having that matching tag.

This distinction matters: tags organize your contacts, and you having a template in place allows your tag to start a campaign or alert.

Do tags trigger any automation automatically?
Not until you set up a template first. Learn more here.

Can I use the same tag on multiple contacts?
Yes. Tags are not limited by contact volume. This is what makes them useful for large-scale workflows

What happens to an alert on my contact if I delete the tag?
Removing a tag does not automatically disable or deactivate the search or market alert that had a matching tag. You'll need to disable this from Email Alerts.

Can I use multiple tags on one contact?
Yes. You can apply as many tags as needed to a single contact. This allows you to layer segments, or chain multiple templates from one tag.

  • For example tagging the same contact with a listing template for Sold listings in the last 12 months may have a tag Tucson Investor Search that you added to a market alert for a monthly update in Tucson.

  • In this case, after removing the tag, you'd go to this contact's Email Alerts tab to turn off or set the alerts to manual:

Are built-in tags visible to the contact?
No. All tags are internal. Contacts do not see any tags applied to their record.
