How Tags Work Between RealScout and Follow Up Boss

Every time RealScout pushes activity data to Follow Up Boss, it applies the base tag RealScout to the contact profile. This tag confirms the contact is connected to RealScout and receiving data from the integration.

Beyond the base tag, RealScout applies additional tags automatically based on contact behavior and email delivery status. These tags appear on the Follow Up Boss contact profile and can be used as filters in Smart Lists, Action Plan triggers, or daily lead prioritization.

Tags in RealScout and Follow Up Boss are not CASE-sensitive. RealScout HVA Viewed, realscout hva viewed, and REALSCOUT HVA VIEWED are treated identically. Spelling must be exact — a single character difference will stall any automation built on the tag.


Engagement Tags

Email Health Tags

RealScout applies these tags when an email delivery event blocks future sends to a contact. They identify contacts who need attention before they can receive alerts.

Note: A contact tagged RealScout Email Rejected or RealScout Email Spam Reported will not receive any RealScout alerts until they request reinstatement through Member Support. Correcting the email address in Follow Up Boss or RealScout does not automatically restore delivery for spam-reported contacts.


Actionable Tags

These are tags you apply in Follow Up Boss to trigger an action in RealScout. Unlike the engagement and email tags above, these go in the opposite direction: you add the tag, and RealScout responds.

When to use actionable tags:

Use RealScout Archive Contact for contacts who have closed, opted out, or are no longer relevant. Archiving removes them from your active contact count and stops all email sends.

Use RealScout Disable All Alerts when you want to pause all alert delivery temporarily — for example, while a client is in contract and not actively searching — without moving them to Archived.

Use RealScout Disable Listing Alerts for contacts who are sellers or homeowners and should receive Home Value Alerts but not buyer-facing listing emails.

Caution: Applying RealScout Disable All Alerts to a contact will stop every alert type immediately. If the contact is a homeowner still expecting their Home Value Alert, use RealScout Disable Listing Alerts instead. Review the contact's active alerts before applying either tag.

RealScout checks for these tags on an hourly cycle. After applying an actionable tag in Follow Up Boss, allow up to one hour for the change to take effect in RealScout.

Frequently Asked Questions

A contact has the RealScout Email Rejected tag. Can I fix this by updating their email address in Follow Up Boss?

Updating the email address in Follow Up Boss corrects the address data but may not automatically unblock the contact in RealScout. If the email bounced because the address was wrong, update it in FUB first, then contact Member Support at support@realscout.com or through the chat button at support.realscout.com to confirm whether the block can be lifted. If the address was genuinely unreachable (full mailbox, inactive account), the contact needs a valid, working email before alerts can resume.

I applied RealScout Archive Contact in Follow Up Boss but the contact is still showing as active in RealScout. Why?

The actionable tags will sync, but not always in real time. If you applied the tag less than an hour ago, the change may not have been processed yet.

If more than an hour has passed, check that the tag is spelled exactly RealScout Archive Contact on the Follow Up Boss contact profile.

A single extra space, different capitalization of a letter that differs from the tag text, or a character substitution will cause the tag to be ignored silently.

Can I build a Follow Up Boss Action Plan that applies RealScout Disable All Alerts automatically?

Yes. You can add RealScout Disable All Alerts as a tag action in any Follow Up Boss Action Plan. For example, you could build an Action Plan that applies the tag when a contact is tagged in FUB. RealScout will detect the tag on the next regular check and disable all alerts automatically. (Removing the tag after alerts disable will not re-enable the alerts).

Do engagement tags persist on the Follow Up Boss contact profile, or are they removed after a period of time?

Engagement tags added by RealScout remain on the Follow Up Boss contact profile until you remove them manually or an Action Plan removes them. RealScout does not remove its own engagement tags automatically, at this time.

If you want tags to reflect only recent activity, build a Follow Up Boss Action Plan that removes the tag after a set number of days/action occurs.

This allows the tag to re-apply it the next time the event occurs.

A contact sent a showing request, but I do not see RealScout Showing Request Message on their Follow Up Boss profile. What should I check?

First, confirm the contact's showing request came through the RealScout platform, not a third-party showing tool. The tag only fires for showing requests submitted through the RealScout interface.

Second, check that the Follow Up Boss integration is connected and active at realscout.com/agent/integrations. Third, note that the tag sync runs on a delay — allow up to 20-60 minutes after the event for the tag to appear in Follow Up Boss.

If I remove the RealScout Archive Contact tag from Follow Up Boss, will the contact become active in RealScout again?

No. Removing the tag in Follow Up Boss does not automatically unarchive the contact in RealScout. The tag triggers the archive action, but reversing the tag does not trigger a restore. To reactivate an archived contact, open their profile in RealScout directly and change their status from Archived using the .
