Getting Started: How to Set Up RealScout for Lead Capture and Nurturing with Cloze CRM

Use this guide if: You're using Cloze as your CRM and RealScout for property alerts and lead nurturing, if you want written steps connect, capture leads from marketing campaigns, and automate follow-up.

Before You Begin: How Does the Lead Flow Work?

The recommended workflow follows one simple rule:

Every lead enters Cloze first → then syncs to RealScout for alerts and nurturing.

This means your marketing links (QR codes, ads, social posts) should funnel new sign-ups into Cloze, which then automatically passes the contact over to RealScout.


Step 1: Confirm Your Lead Sources Are Routing to Cloze

Before setting up anything in RealScout, make sure each of your marketing sources is correctly sending new leads into Cloze.

Common lead sources to check:

  • Your personal website

  • Listing portals (Realtor.com, Zillow.com, Sold.com)

  • Facebook Ads — use your own RealScout search links to route ad sign-ups through Cloze

Important: If a lead source isn't connected to Cloze, new contacts won't sync into RealScout automatically. Contact each vendor directly to confirm the integration is active.


Step 2: Build Reusable Buyer Search Templates in RealScout

What is a Template?

A Template is a saved set of MLS filters (like price range, location, or property type) that you can reuse and copy for multiple clients — so you're not starting from scratch every time.

How to Create a Template

  1. Go to Templates in RealScout: realscout.com/agent/templates

  2. Click Create New Template

  3. Add your MLS filters (e.g., "first-floor primary bedroom," county, property type)

  4. Give the Template a clear, descriptive name

  5. Click Save

Suggested Starter Templates

Start with 2 core templates you'll reuse frequently. For example:

  • "First-floor primary bedroom — [Location] + [Price Range]"

  • "Condo / Townhome — [Location] + [Price Range]"

Note: Once a Template is saved, you can copy it and adjust the filters for individual clients — no need to rebuild from scratch.


Step 3: Turn Templates into Shareable Search Links

What is a Search Link?

A Search Link is a public URL generated from one of your Templates. Buyers can click it to browse matching listings — no login required. You can share it in QR codes, Facebook posts, ads, or anywhere a potential buyer might see it.

How to Create a Search Link from a Template

  1. Go to Search Links in RealScout: realscout.com/agent/marketing/search-links

  2. Select the Template you want to share

  3. Click Generate Link

  4. Add a default tag to track where the lead came from (see Step 4)

  5. Optionally, set a social preview card (image + title shown when shared on social media)

  6. Copy the URL and use it in your marketing

Note: Search Links are ideal for open houses, QR codes, Facebook posts, and ad campaigns — anywhere you need a shareable URL.


Step 4: Add Tags to Track Where Your Leads Come From

Why Use Tags?

When creating a Search Link, you can attach a default tag so that every lead who signs up through that link is automatically labeled with their source. This lets you see — at a glance — which marketing channel is producing leads, both in RealScout and Cloze.

Step 5: Test Your Setup End-to-End

Before sending your Search Link to a vendor or publishing it in an ad, run a full test to confirm everything is working correctly.

How to Test Your Search Link

  1. Copy your Search Link URL

  2. Open a private/incognito browser window (so RealScout doesn't recognize you as the agent)

  3. Paste the URL and browse as if you're a new lead

  4. Sign up using a test email address

  5. Check RealScout to confirm the new contact appeared

  6. Check Cloze to confirm the contact synced over

  7. Verify the correct tag was applied to the contact

Important: If the contact doesn't appear in Cloze after signing up, confirm that your Cloze ↔ RealScout integration is active and that the lead source is correctly configured.


Step 6: Set Up Alert Schedules for Your Contacts

What Are Alert Schedules?

Alert schedules control how often a contact receives property alert emails from RealScout. Choosing the right schedule prevents over-emailing contacts who aren't actively searching — and keeps your most engaged leads on a frequent cadence.

  • Daily — New matching listings are emailed every day

  • Hand-picked / Concierge — You manually select which listings to send

Step 7 (Optional): Automate Nurturing with Auto Nurture

What is Auto Nurture?

Auto Nurture puts lead nurturing on autopilot. It automatically assigns a search Template and alert schedule to new contacts based on their tags — so the right leads get the right listings without any manual work.

What Auto Nurture Can Do

  • Automatically assign a saved Template when a new lead signs up

  • Trigger assignments based on tags (e.g., all leads tagged FacebookAd get a specific search)

  • Prevent over-emailing by keeping each lead segment on the appropriate Template
