Automate Actions by using RealScout Tags

RealScout supports system-level tag automations that allow you to archive contacts or disable alerts automatically.

  • RealScout Archive Contact: Use this tag to archive the contact in RealScout.

  • RealScout Disable All Alerts: Apply this tag to a contact in Follow Up Boss to disable all RealScout communications, including alerts and messages.

  • RealScout Disable Listing Alerts: This tag stops only listing alerts while allowing other communications to continue.

Example on RealScout with CRM If Follow Up Boss is integrated and you add the tag "RealScout Archive Contact" to the contact named Sadie, her RealScout profile will be automatically updated and archived in RealScout. Additionally, adding the tag "FUB_RealScout" to a contact in Follow Up Boss ensures that the contact is synced to RealScout.

The automated action should happen shortly after the tag is applied. Ensure that the correct tags are applied to achieve the desired functionality, whether it is disabling communications or enabling syncing.

Action Tags Available

The following tags trigger automated actions inside RealScout:

Tag

RealScout Archive Contact

Moves contact to Archived status

RealScout Disable All Alerts

Turns off all alerts

RealScout Disable Listing Alerts

Turns off listing alerts only

Note: Tags are not case sensitive.


Important: These Are System Tags

These tags do not indicate engagement.

They do not represent behavior.

They instruct RealScout to perform an action.

For behavior-based tags such as:

  • RealScout HVA Viewed

  • RealScout Property Viewed 3+

  • RealScout Message Sent

  • RealScout Email Rejected

  • RealScout Email Validation Failed

How It Works in RealScout (No CRM)

  1. Open the contact profile in RealScout.

  2. Add one of the supported action tags.

  3. The system automatically performs the corresponding action shortly after the tag is applied.

Example:
Adding RealScout Archive Contact moves the contact to Archived status.

Manual archiving via:

  • Checkbox → Actions → Archive

does not automatically apply the tag.


How It Works With a CRM Integration (Example: Follow Up Boss)

  1. Add the appropriate RealScout action tag inside your CRM.

  2. The tag syncs to RealScout.

  3. RealScout performs the corresponding action automatically.

Example:
Adding RealScout Disable Listing Alerts in Follow Up Boss disables listing alerts in RealScout once synced.


Key Rules

  • Actions trigger after the tag is applied.

  • Actions are not retroactive.

  • Removing the tag does not undo the action.

  • Manual actions do not auto-apply tags.

  • Sync timing depends on integration status.

Best Practice

Before mass-applying action tags:

  • Confirm email status.

  • Confirm recent activity.

  • Confirm you are not disabling alerts for active clients.
