- Custom alert name
- Schedule and other settings
- Selected locations or locations drawn on the map (polygons)
- All search criteria (price min&max, beds min&max, status, property type, etc)
Step-by-step of the Various ways to Access and Create Templates
Create a template from the Search or Create New Alert page.
- Navigate to the Search Page: Click on Search or Create New Alert from the sidebar.
- Fill Out the Search Form: Complete the search form as if creating a listing alert.
- Start the Saving Process: Click the "Save Search" dropdown in the top right corner, then select "Save as Template." A settings/schedule bar will appear.

Finish Saving the Settings for the Template: Give the template a name, add the preferred schedule, and click on the + Create Template button when ready to save.
The template will be created with all the information filled in on the search form. The template will be available on the Templates page/tab on the sidebar.
Create a template from the Templates page.
- Navigate to the Listing Alerts - Templates Page
- Locate the specific template and click on + Create Alert
- A pop-up will appear, and you can mass assign this to one or multiple contacts at once
Create a template from the Contacts page.
Follow these steps to create listing alerts for your contacts:

Navigate to the Contacts Page: Go to the contacts page where your contacts are listed in a table.

Select Contacts: Select the contacts for whom you want to create new listing alerts.

Access the "More Actions" Menu: In the toolbar on the top right side of the table, click on the “More Actions” dropdown menu.

Create Alerts:
- Click on “Create Alerts From a Template”.
- Choose “Listing Alert”.
- Select a template.
- Click to create the listing alerts.
Important Contact Status Information:

- You can only create listing alerts from templates for contacts in the “nurtured” or “awaiting nurture” tabs.
- Archived contacts cannot have alerts created from templates.
Create a template from the designated Contact's Profile page.
When viewing a contact's profile, click ADD LISTING ALERT to choose from your saved templates.
Follow these steps to create listing alerts for your contacts:

Navigate to the Contact's Profile: Once on the contact's profile, you'll automatically be on the Email Alerts tab.

Scroll to Listing Alerts: Click on the + Add Listing Alert button.

Create Listing Alert: Click on Use a Template.

Select a Template: Click on the search bar to select your template from a dropdown menu.

The last step is to save it: Click the + Create Listing Alert button to save/assign the template to the contact.
- This is an example of a green pop-up you will see when you've successfully saved the alert. You will also see the alert under the Listing Alerts section.

Use Tags to create an alert for tagged contacts & tagged templates
You can now add tags to templates. When a contact and a template share a matching tag, a new alert will be automatically created for that contact using the template.
How to Add or Remove Tags from Listing Alert Templates
- Navigate to the Templates page by selecting Listing Alerts - Templates in the sidebar.
- On the Templates page, find the template you want to update.
- Click the action menu (three dots icon) on the far right side of the row for that template.
- Select Add Tag or Remove Tag from the dropdown menu to manage your tags.
- Click DONE once complete.
- The system will search (hourly) for Contacts with the matching Tag added to their profiles to create an alert from Templates.
FAQs
Q: Can I Edit Listing Alert Templates?
A: Listing alert templates can not be edited at this time. If agents would like to change a template, they can create a new one with the changes they wish to make.
Q: Can I Delete Listing Alert Templates?
A: Deleting Listing Alert Templates steps:
- Go to Templates Page: Click "Listing Alerts" in the sidebar dropdown, then select "Templates."

Delete Template: Click the three dots icon on the right side of the template row and select "Delete."
Q: For Tags, is the automation instant?
A: No, RealScout checks for matching tags once per hour and creates new alerts accordingly.
Q: For Tags, will all tags be used for matching?
A: Yes, all tags added to contacts, including those from RealScout and external systems like Follow Up Boss, will be used to find matches with templates.
Q: For Tags, are tags case-sensitive?
A: No, tags are case insensitive. For example, “cOoLTaG” will match “cooltag” or “COOLTAG”.
