From AI Search to a Client Alert

Save a Listing Alert for one client using AI Search. Covers the direct-to-client path, the Template path, alert naming, and when to use each.

Run AI Search, review the results, and save a Listing Alert directly to a client or as a reusable Template. This covers the full workflow from prompt to active alert.


Step 1: Run the search

  1. Go to AI Search

  2. Select your MLS and property class

  3. Enter a plain-language prompt based on your client's criteria, for example: "3-bedroom homes in Mesa under $500K with a garage"

  4. Click Insights to verify the generated filters: confirm the location logic is correct, the price range is accurate, and no filters are unintentionally limiting results

  5. Adjust any filters directly from Insights. You do not need to re-run the prompt

Caution: Do not press Enter or Return to navigate between fields — this will submit the prompt immediately. AI Search also cannot read a listing's details or photos to build a search from them.

Example prompts to adapt for your market

"Active townhomes in _____ and _____ but NOT in _____ priced between $350K and $550K, 2+ beds, garage or parking"

"Single-family homes in _____, under $900K, 3 bedrooms minimum, yard required"

"Condos and Townhomes near _____ under $500K, no HOA or Association fees over $400/month"

Note: Using any of these prompts without filling in a location will default to your account's default location setting.

Step 2: Choose your save path

Save directly to a client

The criteria are specific to one buyer and you will not reuse them

Click Save to Client, search for the contact's name, name the alert, set the schedule, and save

Save as a Template

The criteria represent a buyer type you serve repeatedly (neighborhood, price range, property class)

Click Save as Template, name the Template, and set the schedule. Assign to contacts individually or pair with a tag for auto-assignment

Note: A direct-to-client alert can always be promoted to a Template later. Starting with a direct save does not lock you out of the Template path.

Step 3: Name the alert from the client's perspective

The alert name appears in the subject line of every email the client receives. Use language the client will recognize immediately.

A readable name reduces the chance the email is ignored or marked as spam. When you save, AI Search generates a plain-language description of the search — use that as your starting point, shorten it if needed, and keep it human-readable.

Examples of template names that work:

  • Two-Bed Condos in Capitol Hill Under $450K

  • Family Homes in Naperville With a Yard, $400K–$600K

  • Townhomes Near Downtown Austin With Parking

  • Starter Homes in Tempe with a Garage

  • Single-Story West Valley Search, with Renovation Potential

  • Central Phoenix Condos: Low HOA, Near Light Rail

  • By the Bay Family Homes: $600–$800K, 3+ Beds, with a Yard

  • Augusta's Move-In Ready Townhomes: $350–$550K

Tags handle organization. Template names handle client communication. Use tags for market area, lead stage, or any system that works for you. The template name is what the client sees; the tag is what you use to filter and find templates inside RealScout.

Step 4: Set the alert schedule

You set the schedule when saving the alert. Choose based on the buyer's urgency, not a default.

Active buyer who wants consistent updates without being flooded — most common for engaged buyers

Weekly

Passive lead or past client staying loosely informed — not ready to move yet

Monthly

Long-term nurture contact — early in the timeline, keeping the relationship warm

Note: You can change the schedule at any time from the contact's profile under the Email Alerts tab. Setting it at save is a starting point, not a permanent commitment.
