If you see "Email Warm Up In Progress," that means our email warmup system is working as expected for you, ensuring a smooth and effective email delivery by gradually increasing the number of contacts you can email. This process helps maintain a positive sender reputation and minimizes the risk of emails being marked as spam.
How It Works
- The system will monitor your spam rate over 30 days as you send emails.
- If your spam rate remains low, your emailable contact limit will automatically increase over time.
How You Can Help
To help the process, add or keep contacts who would like and expect to hear from you via RealScout alerts, such as clients, leads, or prospects who have shown interest in your services. This helps ensure better engagement and email deliverability.

What's Happening With Your Emails
Email providers, such as Gmail and Yahoo, closely monitor new senders to prevent spam. RealScout gradually increases your sending volume to build a positive sender reputation. This process takes time, especially when deliverability issues affect your account.
Important Notes
- The "Next Send" dates will remain delayed during warm-up
- You can still manually send alerts to approved contacts
- The system evaluates your performance daily using a 30-day window
- As you improve engagement and remove problematic emails, your warm-up status will advance

- Clean Your Database: FAQ
- Archive contacts with invalid/bounced emails or those that marked as spam
- Update incorrect email addresses
- Focus on Engaged Contacts:
- Prioritize sending to contacts who open your emails
- This improves your sender reputation
- Manually Send to Approved Contacts:
- [Listing Alerts Dashboard]: Where your searches, such as buyer, renter, or sold alerts for your contact, will be.
- [Market Activity Alerts Dashboard]: Where your Market Activity Alerts can be reviewed and sent manually.

Common Issues Extending Your Warm-up Period
- Recipients marking emails as spam or rejecting them

In the example below, The first (1st) template will be assigned to ALL contacts with the tag General Tag and the second (2nd) template will be assigned to ALL contacts who have any, all, or a combination of the tags Buyer, Seller, and/or General Tag.
- Templates having general Tags added to contacts mistakenly - Using overly general tags like Buyer or Seller with templates can accidentally create alerts for ALL buyers/sellers with those tags
