Shared Template Management

RealScout Manager Tools now includes a feature that allows managers to mass-share templates with all agents in their offices. When managers use tags on the templates, the agents with contacts that have matching tags will automatically have an alert created from the template and assigned to them. Important Notice

For management regarding agent contacts, please keep in mind that this automated feature will affect all agents and their contacts who have tags matching the templates created and mass-shared. When you share a template, it does not notify the agents you manage. However, they will be able to see templates shared with them on their templates page.

Highlights

1. Whether you manage an office or an entire enterprise, the templates will be shared with all agents you manage. 
2. Shared templates automatically integrate with tag automation, and this feature cannot be turned off. If you do not want alerts to be automatically created from the template you can simply remove the tags from the template.
3. Only the template's creator, you, the manager, can edit the tags or delete the template.
4. Agents who receive the shared template cannot modify the tags—they can only use the template to create alerts.
    

5. Managers who delete a template do not impact the existing alerts created for contacts.

    

Steps on mass-sharing a Listing or Market Alert Template

1. Navigate to your Listing Alert Template or Market Alert Template page.
2. Locate the template you want to share.
3. Click on the Action Menu (the three dots icon on the right side of the template row).
4. Select Share Template from the dropdown menu.
   
   

Who will templates be shared with?

All agents within your manageable scope. Whether you manage an office or an entire enterprise, the templates will be shared with all you manage. 

Shared Templates & Tag Automation

When managers use tags on the templates, the agents with contacts that have matching tags will automatically have the templates created and assigned to them. Additionally, when an agent adds that same tag to a contact(s), those contacts will automatically be assigned that alert template. 

Example 1:

• When a manager shares a template and adds the Listing Alert Template - Los Angeles Area tag, the tag automation will automatically create alerts for all contacts of agents they manage who have that tag.

Example 2:

• If a manager shares a template with an agent and tags it Listing Alert Template - Los Angeles Area, then when the agent adds that tag to one of their contacts, a listing alert is automatically created for that contact.

FAQs

1. Don't see the share option? Contact support@realscout.com to request this access.
2. Managers cannot share templates with one or more manually selected agents. This is an inclusive share with ALL that you manage feature.
   
   
3. Shared templates are fully integrated with tag automation, and this feature is always active—there is no option to disable it. 
4. Deleting a template from manager Tools does not impact the existing alerts it has already created for agents.
